Executive Assistant

Company Overview

We are a fast-paced, growing three-location dealership group based in San Diego. Our CEO oversees multiple operations and initiatives simultaneously and is seeking a highly capable Executive Administrative Assistant to serve as a trusted partner in daily operations and strategic execution.

Position Summary

The Executive Administrative Assistant to the CEO will provide comprehensive administrative, organizational, and operational support in a high-intensity environment. This individual must be exceptionally professional, discreet, adaptable, and capable of pivoting at a moment’s notice.

Essential Functions
  • Provide primary administrative support to the CEO
  • Manage complex calendars, schedule meetings, and coordinate appointments.
  • Handle travel arrangements, including flights, accommodations, transportation and itineraries.
  • Drive to the airport to pick up and drop off guests.
  • Handle sensitive information with discretion; maintain confidentiality in all aspects of the role.
  • Coordinate communications across multiple locations.
  • Support executive projects and initiatives
  • Adapt quickly to changing priorities
  • Maintain satisfactory attendance.
  • Performs other related duties as assigned.
Supervisory Responsibilities
  • None.
Qualifications

Minimum Qualifications:

  • Fluent in English and Spanish
  • Valid driver’s license and safe driving record.
  • Willingness to sign a non-disclosure agreement (NDA)
  • Strong organizational, multitasking, and time-management skills with attention to detail.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Ability to perform all essential functions of the job description.

Preferred Qualifications:

  • 1 year experience working in business administration, Communications, or a related field.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
  • Experience using AI and comfortable using different types of technology
  • Strong written and verbal communication skills.
  • Problem-solving mindset with the ability to multitask and work under pressure.
  • Professional demeanor and ability to interact with senior executives and stakeholders.
Physical Demands
  • Frequently stands, walks, sits;uses hands;frequently reaches with hands and arms;frequently talks and hears.
  • Occasionally climbs or balances; occasionally stoops, kneels, crouches, squats or crawls.
  • Prolonged periods sitting at a desk and working on a computer.
  • The role may require flexibility in hours and the ability to handle a fast-paced work environment.
Environment/Noise
  • Office setting.
  • Climate controlled.
  • Noise level is quiet to moderate.

Pay Range: $28 - $40 per hour
