Payroll WC & UI Specialist Summary

The Payroll Specialist is responsible for ensuring the focus on compliance and administration related to Unemployment Insurance (UI), Workers' Compensation (WC), and Verification of Employment (VOE) requests. This role requires a high level of accuracy, attention to detail, and a thorough understanding of relevant federal, state, and local regulations.

Responsibilities
  • Unemployment Insurance (UI):
  • Calculate and process state and federal unemployment insurance taxes (SUTA/FUTA) in accordance with applicable laws and regulations.
  • Ensure accurate and timely filing of all necessary UI tax reports and payments.
  • Assist with inquiries and documentation related to unemployment claims and audits.
  • Workers' Compensation (WC):
  • Maintain accurate records and calculate payroll data relevant to workers' compensation insurance premiums.
  • Collaborate with HR and insurance providers to manage workers' compensation claims and related documentation.
  • Respond to inquiries from employees, insurance carriers, and auditors regarding workers' compensation matters.
  • Verification of Employment (VOE):
  • Process incoming requests for Verification of Employment, accurately providing employment dates, job title, income, and other relevant information.
  • Maintain strict confidentiality of employee data and adhere to company policies and legal guidelines regarding information disclosure.
  • Coordinate with HR and management to ensure consistent and compliant handling of VOE requests.
  • General Payroll Assisting Duties:
  • Assisting with payroll processing on a regular schedule (e.g., bi-weekly, semi-monthly), ensuring accurate calculation of wages, deductions, and tax with holdings.
  • Maintain payroll records and reports, ensuring data integrity and accuracy within the HRIS and payroll systems.
  • Reconcile payroll-related accounts and resolve discrepancies or issues promptly.
Requirements
  • Associate's degree in accounting or related field, or equivalent experience.
  • Proven experience in payroll processing, with specific experience in UI, WC, and VOE administration.
  • Strong knowledge of federal, state, and local payroll and employment laws and regulations.
  • Proficiency in payroll software – Paylocity and strong Excel skills.
  • Excellent attention to detail, accuracy, and organizational skills.
  • Effective communication, interpersonal, and customer service skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
