Overview
We are a well-established, single-doctor private dental practice preparing for a season of growth, including the addition of a second dentist and a brand-new office. We are seeking a Practice Coordinator to serve as the heartbeat of our front office—overseeing new patient growth, team coordination, and daily operational flow. This is not a traditional front desk role. This position is ideal for someone who thrives in leadership, values culture, and understands that an exceptional patient experience starts long before a patient sits in the chair.

What You’ll Be Responsible For- New Patient Experience & Growth
- Managing all new patient inquiries from first contact to first visit
- Coordinating new patient onboarding and follow-up
- Owning recall systems and schedule optimization
- Monitoring and improving patient flow and satisfaction
- Marketing & New Patient Development
- Coordinating internal and external new patient marketing efforts
- Working with the doctor and team on social media, community outreach, and referral growth
- Tracking new patient sources and identifying growth opportunities
- Helping maintain a consistent, boutique brand voice across platforms
- Team Coordination & Scheduling
- Creating and managing staff schedules
- Tracking PTO and coverage
- Serving as the first point of contact for staff concerns, questions, and day-to-day issues
- Supporting a positive, professional, and team-centered culture
- Daily Operations
- Leading daily huddles and front office flow
- Ensuring smooth communication between clinical and front office teams
- Training and supporting front desk systems and protocols
- Problem-solving scheduling or patient concerns as they arise
- This role does not handle insurance, collections, or financial reporting
- Those responsibilities are managed by a separate Business Manager, allowing this role to stay focused on people, patients, and operations
- Dental experience required
- Strong leadership and communication skills
- Organized, confident, and solutions-oriented
- Comfortable handling staff conversations with professionalism and discretion
- Marketing-savvy or interested in learning patient growth strategies
- Someone who takes ownership and pride in their role
- Non-corporate, privately owned practice
