Executive Assistant

The Executive Assistant provides high-level administrative support to senior leadership, ensuring efficient operations, smooth communication, and effective coordination across the organization. This role requires exceptional organizational skills, discretion, professionalism, and the ability to anticipate needs in a fast-paced environment. In addition, this role may provide personal assistant support to executives, assisting with household coordination and personal logistics.

Key Responsibilities Executive Support
  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements.
  • Prepare meeting agendas, presentations, reports, and supporting materials.
  • Handle confidential information with the highest level of discretion.
  • Screen and prioritize emails, calls, and requests; respond on behalf of executives when appropriate.
  • Coordinate cross-functional communications and ensure alignment among stakeholders.
  • Must be able to travel as needed.
Operational & Administrative Support
  • Organize and maintain electronic and physical files.
  • Process expense reports, invoices, and reimbursements.
  • Draft, proofread, and edit correspondence and documentation.
  • Support event planning, team meetings, off-sites, and leadership summits.
Project Coordination
  • Assist with tracking deadlines, project milestones, and follow-ups.
  • Conduct research and compile information for executive review.
  • Partner with internal teams to support key initiatives and special projects.
Personal Assistant & Household Support
  • Coordinate household operations, including scheduling and managing vendors (e.g., maintenance, repairs, landscaping, cleaning services).
  • Oversee home maintenance needs, track service schedules, and ensure timely completion of work.
  • Assist with planning and execution of personal events, including children’s parties, family gatherings, and special occasions.
  • Manage personal calendars and appointments, including family-related schedules and commitments.
  • Coordinate with household staff, contractors, and service providers to ensure smooth day-to-day operations.
  • Handle personal errands, reservations, and logistics as needed.
  • Assist with organization of personal records, household budgets, and recurring expenses.
  • Anticipate personal needs and proactively resolve issues to support work-life efficiency for the executive.
Qualifications Required
  • 3+ years of experience in an executive assistant, personal assistant, or high-level administrative support role.
  • Strong proficiency with Microsoft 365 (Outlook, Teams, Excel, Word, PowerPoint).
  • Excellent written and verbal communication skills.
  • Exceptional organizational and time-management abilities.
  • Ability to multitask, prioritize, and operate with minimal guidance.
  • High level of discretion and professionalism when handling personal and confidential matters.
Preferred
  • Experience supporting C‑suite or senior leadership.
  • Experience providing personal or household support to executives or high-net-worth individuals.
  • Familiarity with project management tools (e.g., Asana, Trello, Planner).
  • Bachelor’s degree or equivalent experience.
