We are seeking a reliable and detail-oriented Administrative Assistant to support a team of attorneys in our Nashville office. This candidate role plays a key role in daily office operations, client communications, and administrative support across multiple practice areas. The ideal candidate is organized, professional, and able to manage multiple priorities in a fast-paced legal environment.
Key Responsibilities- Provide comprehensive administrative support to multiple attorneys
- Manage attorneys' calendars, schedule meetings, hearings, and client appointments
- Prepare, format, and proofread legal documents and correspondence
- Handle court filings (electronic and physical), including Tennessee e-filing systems
- Maintain and organize client files (both physical and electronic)
- Track important case deadlines and ensure timely completion of tasks
- Perform data entry and update case management systems
- Coordinate document production, copying, and filing for attorneys
- Oversee day-to-day office operations, including office supplies, equipment, and vendor management
- Ensure the office is always clean, organized, and fully stocked with necessary supplies
- Manage incoming and outgoing mail, faxes, and deliveries
- Act as the main point of contact for IT support, office maintenance, and other administrative needs
- Coordinate the firm’s scheduling and meeting logistics (including video conference set-up)
- Develop and maintain office procedures, systems, and filing protocols
- Assist with onboarding new employees and temporary staff as needed
- Oversee the firm’s records retention and compliance policies
- Manage office budget and track expenses (as needed)
- Minimum of 2+ years of administrative experience
- Experience working in a law firm or legal environment preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office technology
- Experience with legal case management software is a plus
- Excellent organizational, communication, and multitasking skills
- Ability to work independently and handle multiple priorities
- Strong attention to detail and commitment to accuracy
Annual salary: $65k-$80k depending on experience and education.
