Position

Summary

We are seeking a friendly, reliable, and organized Office Assistant / Customer Service Representative to support daily office operations and serve as a primary point of contact for customers and visitors. This role is ideal for someone who enjoys working with people, staying organized, and supporting a service-based team in a professional office setting. This position reports to the Office Manager and plays an important role in customer communication, scheduling, and administrative support.

Responsibilities
  • Greet visitors and ensure a welcoming, professional first impression
  • Answer, screen, and route incoming phone calls
  • Respond to customer inquiries by phone and email
  • Schedule service appointments and act as a point of contact between customers and the service team
  • Provide customers with updates related to scheduled service projects
  • Process customer payments over the phone
  • Receive, sort, and distribute mail and deliveries
  • Maintain a clean and organized front office and reception area
  • Place office and supply orders as needed
  • Prepare conference rooms for meetings, including picking up lunch when required
  • Assist with basic administrative tasks such as data entry, filing, scanning, and copying
  • Support light social media and marketing tasks as needed
Requirements
  • High school diploma or equivalent
  • Strong verbal and written communication skills
  • Professional demeanor and customer-focused attitude
  • Ability to multitask, prioritize, and manage time effectively
  • Proficiency with Microsoft Word, Excel, and Outlook
  • Dependable attendance and punctuality are required
Preferred Qualifications
  • Previous experience in an office, front desk, or customer service role
  • Familiarity with general office equipment such as printers and scanners
