PositionSummary
We are seeking a friendly, reliable, and organized Office Assistant / Customer Service Representative to support daily office operations and serve as a primary point of contact for customers and visitors. This role is ideal for someone who enjoys working with people, staying organized, and supporting a service-based team in a professional office setting. This position reports to the Office Manager and plays an important role in customer communication, scheduling, and administrative support.
Responsibilities- Greet visitors and ensure a welcoming, professional first impression
- Answer, screen, and route incoming phone calls
- Respond to customer inquiries by phone and email
- Schedule service appointments and act as a point of contact between customers and the service team
- Provide customers with updates related to scheduled service projects
- Process customer payments over the phone
- Receive, sort, and distribute mail and deliveries
- Maintain a clean and organized front office and reception area
- Place office and supply orders as needed
- Prepare conference rooms for meetings, including picking up lunch when required
- Assist with basic administrative tasks such as data entry, filing, scanning, and copying
- Support light social media and marketing tasks as needed
- High school diploma or equivalent
- Strong verbal and written communication skills
- Professional demeanor and customer-focused attitude
- Ability to multitask, prioritize, and manage time effectively
- Proficiency with Microsoft Word, Excel, and Outlook
- Dependable attendance and punctuality are required
- Previous experience in an office, front desk, or customer service role
- Familiarity with general office equipment such as printers and scanners
