Executive Administrator to the President/CEO
The United Methodist Higher Education Foundation (UMHEF) is seeking a highly organized and dynamic Executive Administrator to provide comprehensive administrative and operational support to the President/CEO. This role is a key liaison to the Board of Trustees, donors, staff, vendors, and other external partners and is central to the efficient functioning of the Foundation.

- Provide executive support, including calendar management, correspondence, drafting letters/contracts, and prioritizing projects.
- Manage gift and donation processing in Blackbaud Raiser’s Edge, prepare acknowledgments, and coordinate with the Controller for financial accuracy.
- Serve as the administrator for the donor database, generate reports, and assist staff in effective use of the system.
- Coordinate logistics for meetings, Board events, and fundraising activities, including on-site coordination and vendor management.
- Provide administrative support for communications and public relations initiatives, including mailings, collateral, contact list updates, and logistics for PR events.
- Assist with trustee communications and preparation of materials for President/CEO visits, including scheduling and document management.
- Maintain official records, bylaws, and act as recording secretary for Board and committee meetings.
- Manage office operations, supplies, and day-to-day administrative needs.
- Proven experience in executive support and administrative management.
- Commitment to the mission of UMHEF and knowledge of The United Methodist Church structure and agencies.
- Strong discretion, judgment, and ability to handle confidential information.
- Excellent written and verbal communication skills; strong interpersonal and organizational skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook); experience with Blackbaud Raiser’s Edge preferred.
- Team-oriented, problem-solving mindset with ability to manage multiple tasks and deadlines.
