The ABA Scheduling Specialist will work under the direction of the President/Clinical Director and Scheduling Coordinator. This role requires strong organizational skills, attention to detail, and motivation to support company growth and ensure high-quality services for clients. The specialist will be responsible for coordinating therapy schedules and ensuring optimal utilization of client hours and staff availability.
Responsibilities:
- Monitor and help manage the scheduling inbox for same day schedule changes; update all one time changes accurately in Central Reach.
- Conduct weekly audits of Central Reach to ensure all client and staff labels, availability, and our map are accurate and up to date.
- Coordinate and manage all make-up sessions and pick-up hours, ensuring missed services are recovered and delivered within the authorization.
- Proactively monitor under-scheduled clients and identify opportunities to add sessions in order to maximize authorized service hours and maintain treatment consistency.
- Communicate regularly with Scheduling Coordinators and other relevant departments to ensure consistency and quality assurance.
- Provide front office support by assisting with incoming phone calls, routing scheduling requests, and addressing urgent client or staff needs in a timely and professional manner.
Candidate Requirements:
- Must be available between 8:00 AM – 6:00 PM CST (United States Central Standard Time).
- Healthcare scheduling background preferred (ABA experience highly preferred).
- Experience using Central Reach preferred.
- Strong organizational and communication skills.
- Ability to work independently and in collaboration with a remote team.
