Summary

The Hospitality Coordinator reports to the Assistant Director of Admissions. This position is responsible for the leadership and coordination for all undergraduate campus visit experiences, ensuring prospective students and families encounter a well-organized, welcoming, and mission-aligned visit from first contact through follow-up. The role supports enrollment goals by overseeing visit operations, communication, and evaluation of visit effectiveness. This position is a full-time staff position that works year-round.

This position works on campus in Nashville and is not a remote position.

Responsibilities
  • Serves as a primary point of contact for visitors, delivering a polished, enthusiastic, and hospitality-driven experience that reflects the significance and care the university places on every prospective student.
  • In conjunction with the Office Manager, ensures daily Admissions Office operations are appropriately scheduled, resourced, and coordinated, with particular responsibility for the front desk reception area
  • Coordinates all campus visit registrations through the Admissions CRM system (recruit) and Trevecca website
  • Oversees and manages all campus visits, including scheduling facilities, admissions counselors, financial aid sessions, tour guides, professors, and coaches
  • Communicates with visiting families before and after campus visits to ensure clarity, preparedness, and follow-up
  • Maintains campus visit registration sections of the Trevecca website
  • Tracks, reports, and evaluates campus visit statistics monthly in relation to enrollment goals
  • Coordinates group visits from high schools, churches, and other organizations
  • Ensures adequate campus visit supplies are maintained, including t-shirts and campus visit materials
  • Serves as a backup to the Office Manager in their absence, including oversight of student ambassadors, administrative processing, and facility management
  • Assists in managing the front desk reception area, including answering the university switchboard and directing calls across campus
  • Assists in maintaining organization and supply levels for the workroom and storage areas
  • Coordinates the development of personalized campus visit details and materials in collaboration with student ambassadors and graduate assistants
  • Provides support for special events coordinated by the Office of Admissions
  • Manages administrative logistics for admissions events, including nametags, folders, schedules, registrations, and signage
  • Sets up admissions information and registration tables for events such as preview days and orientation
  • Conducts ongoing prospecting efforts to invite students to campus visits and drive attendance in support of enrollment goals
  • Coordinates campus scavenger hunts for group visits and special admissions events
  • Other duties and responsibilities as assigned.
Qualifications
  • Bachelor’s degree is required
  • Personal and professional integrity
  • Communicates effectively and professionally, both orally and in writing
  • Ability to represent the university with professionalism, enthusiasm, and discretion at all times
  • Strong computer skills in M.S. Office applications (specifically Excel and Word), Canva, CRM databases (specifically Ellucian Recruit)
  • Strong interpersonal skills with the ability to engage warmly and professionally with a wide range of constituents, including prospective students, families, faculty, staff, and guests
  • Ability to work on campus Monday – Friday, 8:00AM to 4:30pm with some evenings/weekends required as needed.
  • Analyzes, strategizes, and solves problems in order to make independent evaluative judgments.
  • Performs complex tasks and prioritizes multiple tasks with skills in organizing resources and establishing priorities.
  • Prior experience with Trevecca Nazarene University preferred but not required
  • Customer service or hospitality experience preferred but not required
  • Prior experience with event planning and coordination preferred but not required
