The Office Assistant is the first point of contact for clients, vendors, and visitors. The Office Assistant will ensure a positive first impression and overall experience by extending a warm welcome to all clients, vendors, and visitors, and connecting them with the desired services and information.
Outcomes- Provide exceptional customer service by greeting all clients and visitors warmly and professionally, directing them to studios, lockers, or other areas as needed
- Answer phone calls, emails, and walk-in inquiries in a timely and accurate manner
- Schedule rehearsal bookings and updates using our studio software, obtaining key intake information and signed agreements and introducing clients to audio engineers upon booking
- Sign for packages, maintain delivery records, and deliver packages to client lockers as needed
- Accept internal mail, sign for packages, maintain delivery records as needed
- Help coordinate extended or complex parking arrangements
- Manage inventory of office supplies and consumables
- Keep the reception and common areas tidy
- Resolve routine service issues, escalate complex or high-level service issues to the Business Manager or appropriate department
- Assist the Office and Business Manager with administrative tasks and support the team as needed
- Assist with opening and closing procedures, evening and weekend coverage only as needed
- Previous experience in customer service, reception, or administrative role preferred
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Comfortable using scheduling software and basic office tools
- Flexibility to work evenings and weekends as needed
- A passion for live entertainment
- Strong ability to work with people and form relationships
- Open to continuous learning in a dynamic environment, willingness to pivot as business needs shift
Ability to remain calm in difficult and/or complex situations and maintain an action oriented, problem-solving mindset
- Demonstrate pride and ownership in your work
- Frequent moving and lifting boxes, supplies, and packages of 30-40 lbs.
- Frequent walking throughout campus but may remain stationary for long periods of time
- Frequent use of manual dexterity to type, access files, and handle supplies
- Occasional exposure to loud music, fog, or lasers
