We are seeking an experienced, highly organized Executive Assistant to provide strategic administrative, transaction, marketing, and operational support to the Founder & Principal Agent. This role is ideal for someone who thrives behind the scenes
, loves systems and details, prefers administration over sales, and enjoys being the steady, decisive force that keeps a fast-moving business running smoothly. This is not an entry-level role and not a mentoring position.
Application Question(s):
- Serve as the central operational hub, supporting the Lead Agent in the field and keeping the business running smoothly at all times
- Provide consistent operational and administrative support to the Lead Agent while she is showing homes or in meetings
- Cover for the Lead Agent when out of town, ensuring continuity of operations and decision-making
- Own the coordination of inspections, appraisals, vendors, and repair timelines
- Review inspection reports and prepare repair requests during negotiations
- Track deadlines, documents, and compliance with accuracy and consistency
- Own Compass CRM, Business Tracker, pipelines, and task systems
- Execute and refine marketing initiatives, including monthly newsletters, listing launches, and ongoing brand strategy
- Track lead generation activity and ensure follow-up systems are current and effective
- Own the execution and continuous improvement of Standard Operating Procedures (SOPs)
- Act as the strategic and operational brain behind the business, anticipating needs and solving problems before they escalate
- Part-time with flexible hours
- Hybrid role (local Nashville availability required)

Required Experience
- 5+ years of experience as a real estate assistant, executive assistant, or operations manager
- Strong working knowledge of real estate contracts and transaction timelines
- Experience owning multiple transactions simultaneously
- Proficiency with CRM systems (Compass strongly preferred)
- Demonstrated ability to work independently and make sound decisions
- Exceptional attention to detail and organizational skills
Ideal Experience and Who
- Active or inactive real estate license strongly preferred
- Familiarity with luxury homes and high service standards
- Someone who prefers administration and operations over sales
