Job DescriptionA client of Innova Solutions is immediately hiring for an Administrative Assistant

As an Administrative Assistant you will:
- Coordinate activities between VP, Finance – Deputy CFO and Procurement Department providing direct support to the Deputy CFO with other responsibilities assigned based on the requirements of the other departments.
- Answer and direct phone calls in a professional manner.
- Coordinate calendars, meetings, schedules, and appointments as required.
- Receive, sort, and distribute mail.
- Organize and schedule meetings and appointments.
- Produce and distribute correspondence (memos, letters, faxes, and forms).
- Prepare staff reports and participate in staff meetings.
- Develop and maintain filing system for the department.
- Handle sensitive information in a confidential manner.
- Order and maintain office supplies for the department.
- Organize and book travel arrangements.
- Receive invoices, review for accuracy, and submit for payment.
- Procure items and services for the department, track records in adherence with procurement procedures and processes.
- Suggest changes in office task workflow to improve efficiency.
- Assist in preparing presentations and materials.
- Coordinate the repairs and maintenance of office equipment.
- Interpret policies, rules, and regulations as required.
- Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
- Set up vendors in the D365 system, verify application, W‑9, and insurance requirements.
- Responsible for transactions on GOVDeals surplus auction site.
- Verify required information for advertisements.
- Develop, review, and edit presentations; build spreadsheets and coordinate staff actions as required.
Skills & Qualifications
- H.S. Diploma or Associate’s degree (required)
- Associate’s Degree or higher (preferred)
- 2‑4 years Administrative, clerical, or office management experience (required)
- 4‑7 years Administrative, clerical, or office management experience (preferred)
- Notary (required)
- Administrative Assistant Professional certification (preferred)
Skills & Qualifications
- Ability to communicate clearly, concisely, and convincingly, both orally and in writing.
- Ability to use office equipment and personal computer.
- Knowledge of office management systems and procedures.
- Proficient in Microsoft Office.
- Ability to compose letters and other forms of correspondence.
- Skill in handling inquiries and dealing with problems.
- Skill in working with the public.
Pay Range*: $20 - $30 per hour
