Senior Executive Assistant
We are hiring a Senior Executive Assistant to support four Vice Presidents in a dynamic, fast‑paced environment. The successful candidate will be a highly organized and proactive individual who can manage a wide range of administrative tasks.
Responsibilities- Provide full administrative support, including calendar management, travel arrangements (domestic and international), meeting coordination, and expense management for 4 executives.
- Leverage modern technology and software to communicate with executives, plan and facilitate large online meetings using Slack, Zoom, and Confluence.
- Work from the office 3 days a week; support local office events, initiatives, and activities, and be flexible to handle calendar support outside of business hours as required.
- Plan several annual events, including managing space/desk assignments, travel itineraries, accommodations, logistics, and catering.
- Act as a point of contact between supported executives and internal/external stakeholders, handling communications with professionalism and diplomacy while maintaining confidentiality and managing sensitive information.
- Minimum of 3‑5 years of relevant experience supporting executives and/or coordinating critical events or projects in a fast‑paced, global environment.
- Demonstrated sense of urgency, ability to manage multiple tasks simultaneously, prioritize effectively, and respond to high‑pressure situations with speed and precision.
- Highly organized with strong accountability, ownership, and the ability to manage deadlines and deliverables.
- Tech‑savvy:
Proficient in Microsoft Office Suite, PowerPoint, and video conferencing platforms, with the ability to quickly learn new tools and technologies. - Strong problem‑solving and creative mindset, capable of finding innovative solutions to complex challenges.
- Exceptional written and verbal communication skills, engaging professionally across all levels of the organization.
- Proven ability to handle sensitive and confidential information with the utmost discretion and professionalism.
- Flexible and resilient, able to adjust to shifting priorities in a dynamic global organization.
- Experience working in a professional services environment.
- Comfortable working across different time zones and managing international communications and travel arrangements.
- Bachelor’s degree in Business, Communications, or a related field (preferred but not required).
- US: $27.07 – $54.13 per hour; $56,300 – $112,600 per year; may be eligible for equity.
