The Museum Services Department manages collections, exhibitions, public programs, publications, releases, interpretation and editorial content.
Position OverviewThe Administrative Coordinator supports the Vice President, Museum Services, handling scheduling, budgeting, meeting coordination, VIP services and general administrative tasks using Microsoft Office and other software.
SpecificJob Duties
- Maintain the VP’s schedule and coordinate internal and external meetings.
- Administer the department’s annual budgeting process, lead planning meetings, prepare expense reports and purchase orders, and monitor monthly budget reports.
- Manage interdepartmental meetings for exhibitions, events, and projects led by the Museum Services division.
- Attend meetings, create agendas and reports, and follow up on action items.
- Provide general administrative support.
- Collaborate with Museum Services staff to create presentations for educational public programs and employee programs.
- Work with other divisions to schedule, greet and escort artists, donors, vendors and other guests.
- Facilitate communication between the VP and Exhibition Services, Editorial and Collections staff.
- Maintain and update exhibition calendars; update sections of the museum’s institutional calendar; monitor ongoing projects using project management software.
- Book travel arrangements.
- Other duties as assigned.
- Minimum three years of experience in office management or administration.
- Bachelor’s degree in a complementary field of study.
- Proficiency with Microsoft Office products (Outlook, Word, PowerPoint, Excel, Teams).
- Budget management experience.
- Familiarity with the history of country music and key figures within the genre; engagement with contemporary music; familiarity with roles and functions of music industry professionals.
- Excellent written and verbal communication skills.
- Substantive experience working in a museum or other non‑profit arts institution.
- Proficiency with photo‑editing, desktop publishing and customer resource management software.
- Experience navigating databases.
- Experience with project management software such as Basecamp and Microsoft Teams.
- Strong time management and organizational skills.
- Professional demeanor and discretion.
- Ability to work both collaboratively and autonomously.
- Respect and passion for country music as an art form; commitment to continually expand knowledge of country music history and current music, artists and events.
