Totlani & Partners is assisting a luxury custom home builder specializing in high-end residential construction. The organization is committed to excellence, transparency, and precision in both craftsmanship and financial operations. We are seeking a detail-oriented and highly organized Staff Accountant to support and manage accounting functions across multiple construction projects while ensuring accurate financial reporting and strong internal controls.

Position Summary

The Staff Accountant is responsible for supporting the full accounting cycle for construction projects, including accounts payable and receivable, job cost accounting, reconciliations, and draw management. This role partners closely with Project Managers, ownership, and external stakeholders to ensure financial accuracy, healthy cash flow, and timely, transparent reporting to leadership, lenders, and clients.

Key Responsibilities General Accounting
  • Maintain accurate day-to-day accounting records for multiple construction projects.
  • Post and reconcile transactions in Quick Books and Job Tread, ensuring proper classification between P&L and Balance Sheet accounts.
  • Assist with month-end close activities, including account reconciliations and supporting schedules.
  • Maintain organized financial documentation in accordance with company SOPs and internal controls.
Accounts Payable & Accounts Receivable
  • Receive, review, and process vendor invoices through Job Tread.
  • Code invoices to the appropriate project, budget category, and cost code.
  • Coordinate invoice approvals with Project Managers and Owners.
  • Prepare and process vendor payments (ACH and checks).
  • Support AR functions, including client invoicing, draw billing, collections follow-up, and cash application.
Project Accounting & Job Costing
  • Set up and maintain project financials within Job Tread.
  • Track job costs daily and ensure all transactions are supported with proper documentation.
  • Perform bi-weekly budget-to-actual reconciliations and prepare variance reports for Project Managers and leadership.
  • Monitor project budgets and flag discrepancies or cost overruns proactively.
  • Compile and reconcile Unpaid Bills by Job reports.
  • Prepare complete client and lender draw packages, including invoices, summaries, and supporting documentation.
  • Submit and track draw requests, verify disbursements, and record receipts.
  • Maintain and update master draw schedules and project cash flow forecasts.
Compliance & Documentation
  • Enforce strict record-keeping standards for invoices, payments, approvals, and draw documentation.
  • Archive financial records in Dropbox and Job Tread in compliance with company SOPs.
  • Ensure accounting processes align with internal controls and any lender or external compliance requirements.
Qualifications
  • Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Minimum of 1–3 years of accounting or bookkeeping experience; construction or project-based experience strongly preferred.
  • Proficiency in Quick Books, Job Tread (or similar construction accounting software), and Google Sheets.
  • Solid understanding of job cost accounting, construction draw cycles, and reconciliations.
  • Strong attention to detail with the ability to manage multiple projects and deadlines simultaneously.
  • Effective communication skills for coordination with Project Managers, vendors, clients, and ownership.
