Job SummaryThis role provides comprehensive administrative support to the physician practice. The Coordinator Surgical Scheduling is responsible for all aspects of surgical coordination, from scheduling appointments to ensuring pre‑surgical requirements are met. They act as a liaison between patients, physicians, and hospital departments, maintaining a professional and efficient environment.
Essential Duties & Responsibilities- Executes triage patient calls and inquiries.
- Provides exceptional customer service by proactively reaching out to surgical candidates as directed by the surgeon.
- Schedules pre‑ and post‑operative office appointments and preadmission testing appointments.
- Coordinates surgical procedures and ancillary imaging as required by the surgeon.
- Ensures timely scheduling and authorization of surgeries, accurately inputting information into the EMR system.
- Collaborates with ASCs and inputs necessary patient demographics and case information into their surgical scheduling platform. Ensures all operative notes are received from the ASC and entered into our EMR. Submits all billing documents to the revenue integrity team.
- Manages and confirms appointments, proactively filling open surgical slots and rearranging schedules as needed.
- Collaborates with primary care and specialty providers to obtain necessary surgical clearances.
- Coordinates with vendors to schedule complex procedures and ensures necessary equipment, implants, and grafts are secured.
- Tracks and ensures completion of all necessary pre‑surgical documentation, including clearances, tests, labs, and insurance authorizations.
- Assists patients with enrollment in surgical education programs.
- Assembles surgical packets and educational materials for patients prior to pre‑operative appointment.
- Manages patient referrals and obtains insurance authorizations.
- Communicates provider professional fees for procedures.
- Works collaboratively with Ensemble staff to provide patients with financial quotes.
- Communicates effectively with patients, providing instructions and information regarding procedures and financial obligations.
- Acts as a liaison between physicians, hospital departments, and patients, ensuring seamless communication and coordination.
- Works with hospital scheduling on OR block needs and releasing unnecessary blocks.
- Works independently and as part of a team, maintaining a positive attitude and aiding coworkers.
- Upholds high standards of customer service and contributes to a professional atmosphere.
- Maintains patient confidentiality and privacy.
- Minimum of an Associate’s degree with 2 years’ experience in a healthcare setting OR high school/GED with 5 years’ experience in a healthcare setting required.
- Six months of relevant healthcare revenue cycle, scheduling, or customer service experience preferred.
- Excellent verbal and written communication skills for interacting with patients, staff, and insurance providers.
