The NCA Admissions Coordinator manages the full enrollment cycle and serves as the primary liaison between prospective families and the school community. This role is responsible for guiding prospective families through the application and enrollment process, conducting engaging campus tours, organizing on-campus open houses, attending off-site student/ family recruitment events, managing data in student information systems, and ensuring enrollment goals are met through effective strategies, thorough communication and relationship-building with families.
Key Responsibilities & Duties1. Family Liaison & Communication:
Serves as the primary point of contact for all family inquiries, providing comprehensive information about the school’s mission, curriculum, and core virtues. Cultivates strong relationships with prospective and returning families, ensuring a positive and seamless enrollment experience each year.
2. Admissions Process Management:
Guide prospective families through the full admissions cycle, including initial inquiries, application completion, document collection, assessments, and interviews. Ensure a seamless, welcoming, and efficient experience from first contact through enrollment.
3. Event Coordination and Engagement:
Plan, organize, and lead school tours, open houses, on- and off-site recruitment events, and student shadow days. Execute engaging community retention initiatives and student recruitment events that strengthen relationships and support enrollment growth.
4. Data Management & Reporting:
Maintain accurate and up-to-date applicant and enrollment records within the Student Information System (SIS). Monitor applicant pipelines, track key enrollment metrics, and generate reports analyzing trends to support strategic planning and forecasting.
5. Marketing & Recruitment:
Partner with the marketing team to implement recruitment strategies, including representing the school at education fairs, managing event booths, and building strong relationships with feeder schools and community partners to enhance visibility and enrollment outcomes.
Communications
- Manage the school’s website and social media platforms, ensuring content is current, engaging and aligned with the school mission. Collaborate with web developers to enhance and maintain a high-quality website that is appealing, informative, and user-friendly for families.
- Demonstrate exceptional verbal and written communication skills across all platforms and audiences.
- Streamline communication between the school, parents, and students by developing clear structures, consistent messaging, and efficient systems.
- Foster a culture of proactive, transparent, and frequent communication that strengthens community engagement and trust.
Skills & Qualifications
- Education: Bachelor’s degree from an accredited four-year college or university.
- Experience: Minimum of 3 years of experience directly overseeing student recruitment, preferably within a K–12 educational setting. Prior experience working with K–12 families required.
- Communication: Exceptional written and verbal communication skills, including experience crafting professional correspondence, conducting campus tours, presenting at events, and engaging in meaningful conversations with parents and stakeholders.
- Technical Proficiency: Demonstrated experience with student information systems and CRM platforms (such as Finalsite, Veracross, FOCUS, and/or Blackbaud), Microsoft Office Suite, and Google Workspace.
- Organization & Initiative: Strong attention to detail with the ability to manage complex application workflows, multiple timelines, and competing priorities simultaneously. Self-starter with excellent follow-through.

Skills:
Proven ability to build rapport and maintain positive working relationships with families, faculty, administrators, and community partners. - Strategic Planning: Ability to design, execute, and evaluate a comprehensive 12-month student recruitment campaign, including providing periodic progress reports to the Head of School and senior leadership team.
Skills & Qualifications
- Current resident of Collier County with demonstrated knowledge of the local community and surrounding areas.
- 5+ years of experience working in a K–12 admissions office.
- Prior experience within a classical liberal arts school environment.
