We are seeking a friendly, patient, and service-oriented Administrative Assistant to join our HOA team at Esplanade Golf & Country Club of Naples
. This position is the face of the community and the first point of contact for residents. The ideal candidate is upbeat, organized, and enjoys helping others, especially those who may need extra guidance with technology. They also demonstrate sound judgment, professionalism, and the ability to enforce policies.
Greet and assist members in person, by phone, and via email in a courteous and professional manner.
Support residents with resale and rental applications, ACC applications, and use of the community gate access app.
Provide patient, step-by-step assistance to members who may be unfamiliar with technology.
Issue member and apply RFID stickers to resident vehicles.
Attend appeals committee meetings and accurately record meeting minutes.
Create, post, and distribute board meeting agendas in accordance with established procedures.
Manage the community speeding violation system, including creating reports and issuing speeding violation notices.
Set up and manage Zoom meetings for board and committee meetings, including meeting links and basic technical support.
Create, upload, and manage board meeting video recordings on Vimeo for posting to the community website.
Maintain accurate records and organize documents as needed.
Assist the Community Association Manager with daily administrative tasks.
Help maintain a welcoming, efficient front office environment.
QualificationsStrong customer service skills and a positive attitude.
Excellent verbal and written communication skills.
Ability to remain patient and supportive with residents of all tech-comfort levels.
Proficiency in Outlook, Teams, Microsoft Word, Excel and Adobe.
Strong organizational skills and attention to detail.
Ability to work well in a shared office space and follow direction from the Community Association Manager.
Physical DemandsThis position is based in an office environment and requires prolonged periods of sitting, with occasional standing and walking.
Routine use of a computer and standard office equipment is required.
- The work environment is a shared office setting with a noise level that is generally moderate and may occasionally be loud.
- Monday through Friday, 9:00 AM to 5:00 PM.
