POSITION OVERVIEW

The Logistics & Fulfillment Specialist is responsible for the complete order, shipping, and fulfillment pipeline for all Lawrence Wine Estates. This role ensures shipping accuracy, timely delivery, smooth execution of wine club releases, and effective coordination with fulfillment partners. The position requires exceptional attention to detail, proactive problem solving, and strong communication across multiple departments.

This role executes approved release plans and fulfillment workflows with a high degree of ownership, independently managing day-to-day fulfillment decisions while aligning with broader operational priorities.

CORE RESPONSIBILITIES

Order Processing & Fulfillment Execution

  • Execute wine club shipments based on approved release plans, including payment processing, member customizations, special packaging, and ship scheduling.
  • Process all DTC orders across web, phone, and member channels, ensuring accuracy, compliance, and on-time fulfillment.
  • Manage daily order flow and shipping queues across Commerce7, Ship Compliant, and Wine Shipping, setting priorities and sequencing work to meet deadlines.
  • Pack and ship in‑house orders as needed and coordinate with third‑party fulfillment partners to ensure service standards are met.
  • Partner with the Compliance Manager to resolve orders in quarantine and ensure timely release.
  • Address shipping issues including damages, address updates, holds, and fulfillment discrepancies using sound judgment within established guidelines.
  • Work closely with the Director of Client Services to prepare for wine club releases, custom programs, and seasonal initiatives, ensuring operational readiness and smooth execution.
  • Ensure required inventory is positioned at the warehouse in advance of each club cycle and proactively flag risks, gaps, or timing concerns.

Shipping Exceptions & Issue Resolution

  • Review exception reports daily and determine appropriate corrective action.
  • Process returns, reships, and redirects for all DTC shipments.
  • Manage issues related to weather holds, carrier delays, and inventory constraints.
  • Track recurring issues and provide recommendations to improve fulfillment efficiency.

Inventory Coordination

  • Partner with the Director of Client Services to assess inventory needs for club shipments, library wines, allocations, and special programs.
  • Coordinate inventory movement for events, clubs, and allocations, balancing operational efficiency and service standards.
  • Prepare monthly inventory snapshots across all brands.
  • Analyze inventory velocity trends and share insights to support forecasting and purchasing discussions.

Quality Control

  • Maintain high standards for packing and shipping accuracy using established quality control checklists.
  • Perform final readiness checks for club shipments, including packaging accuracy, inventory alignment, and billing timelines.
  • Ensure premium and seasonal packaging materials are assembled and staged ahead of release cycles.

Reporting

  • Generate monthly reports on inventory usage, shipping accuracy, and fulfillment performance.
  • Provide clear reporting on shipping timeliness, order accuracy, and exception trends.

QUALIFICATIONS
  • Demonstrated ability to work independently, prioritize competing demands, and manage execution with minimal oversight.
  • Exceptional attention to detail in a high volume environment.
  • Experience with DTC wine logistics and systems including Commerce7, Ship Compliant, Wine Shipping, and third‑party fulfillment partners.
  • Strong written and verbal communication skills for cross‑functional coordination.
  • Practical problem‑solving ability within defined processes and timelines.
  • Ability to lift up to 50 pounds and stand for extended periods as required during fulfillment cycles.
  • Comfortable working peak periods including OND and club release windows.
