This role is an integral part of our private wealth management team, serving as the first point of contact for clients. You will handle inquiries, schedule and coordinate appointments, and manage administrative tasks to ensure the team operates at peak productivity.

Key Responsibilities
  • Answer and direct client inquiries via phone and email
  • Manage and coordinate active calendars
  • Schedule and confirm meetings
  • Monitor emails for Consultants during absences
  • Maintain client relationship management system (Salesforce – Advisor Portal)
  • Prepare meeting rooms for client appointments
  • Greet and welcome clients
  • Develop and update administrative protocols
  • Organize travel and meeting arrangements for Consultants
  • Respond to client/advisor requests for account details and documentation
  • Manage client appreciation programs
  • Plan and coordinate events
  • Maintain office supplies and inventory
  • Track office equipment
Requirements
  • Strong work ethic and reliability
  • Excellent interpersonal, customer service, and communication skills
  • Exceptional attention to detail
  • High proficiency in Microsoft Office Suite
  • Comfortable with technology and adept at using digital applications and systems
  • Administrative Assistant Certificate, Diploma or Bachelor of Business Administration, or equivalent experience

Pay range: $45,000.00-$55,000.00 per year
