Job Overview

The Admin Manager is responsible to ensure efficient and timely admin support for ensuring smooth business operations across Gradiant’s operations in Oman.

Specific Duties /Responsibilities Manpower and resourcing
  • Obtaining employment visas and work permit
  • Meeting the localisation requirements in Oman
  • Ensuring adequate quotas and approvals based on project requirements
  • Liaise with Ministry of Manpower where required to expedite the applications and culture
Compliance and Documentation
  • Renewal of licenses and permits required for the business to ensure compliance to local regulations
  • Monitor and track the renewals
  • Liaise with various statutory authorities and departments where necessary to expedite the necessary approvals
Facilities
  • Responsible for managing and renewal of tenancy agreements
  • Ensure the necessary maintenance and safety arrangements and contracts (Eg – Fire protection, waste disposal etc)
  • Manage Utilities such as power/ water / internet/ communication
  • Staff accommodations
Fleet Management
  • Managing vehicle fleet (circa 50 cars, pick-ups and trucks)
  • Responsible for the maintenance, insurance and license renewals
Risk and insurance
  • Liaise with corporate risk and insurance teams for the renewal of fire insurance, workmen's compensation insurance, group life insurance
  • Support the HR officer with medical insurance / health care facilities
Admin Cost
  • Compliance to internal systems and procedures for admin /other business processes and expenses
  • Ensure that the admin budget and expenses are controlled and utilised in an optimum manner
Others
  • Support the management with various other Admin / Liaison / PRO related matters
  • Support the management with representation in various external authorities
  • Provide advice on local compliance / regulatoryhyw issues and market developments
  • Any other responsibilities as instructed by the management
  • Comply with the QHSE management system processes.
Qualifications, Skills & Experience
  • A degree in any discipline
  • Advanced in MS Office
  • Proficient in the following languages
    • English – Spoken and written emi
    • Arabic – Spoken and written
  • Expert level knowledge of the regulatory / business environment in Oman
  • Well networked and has knowledge of key authorities including, but not limited to Ministry on Manpower, Immigration,
