Summary ofJob Duties and Responsibilities
Administrative support and data maintenance.
- Point of contact for phone inquiries, walk-ins, and web-based emails/inquiries for Nursing.
- Assist Dean’s office with the management of nursing contracts for the BSN program.
- Assist Program Chair with coordination of clinical requirements.
- Provide a welcoming, positive, inclusive, work environment to all faculty, staff, students and guests to Mason Hall/Jackson Hall.
- Assist with arranging and scheduling on-campus student visits.
- Provide administrative support for efficient operation of the office.
- Assist with applications for the BSN and RN-BSN programs.
- Assist dean’s office with maintaining inventory
- Mason Hall, Paducah, Madisonville, etc.
- Including both University and Federal inventory sheets
- Day-to-day operations of the office
- General reception duties, distributing mail, photocopying, assisting students and other visitors, procuring office supplies, organizing materials in common areas, and ensuring that common areas are kept neat and orderly, assist with technical support as needed.
- Be knowledgeable of and assist with emergency procedures.
- Hiring, scheduling, and training student workers in Mason/Jackson Hall.
- Nursing/Castlebranch review student immunizations/background checks and update BSN Program Chair.
- Maintain nursing faculty and adjunct credentials (ie. immunizations, CPR, malpractice insurance, nursing license).
- Room scheduling for Mason/Jackson Hall (meetings and class schedules).
- Programs for various events including nursing recognition, back-to-school, pinning, etc.
- Coordinating with Jones Photography.
- Walmart, Bookstore runs for items needed.
- Serve as departmental contact for Facilities Management, enter work orders through the AiMS system, and follow up on work requested.
- Oversee the organization and supply of recruitment and storage closets (including student visitor goody bags).
- Other duties as needed.
- Two years of college.
- Four years of upper-level office experience in a business, government, or industrial setting. Additional college and related experience may be exchanged year-for-year to meet qualifications.
- Alertness, initiative, attention to accuracy, memory for oral and written directions or details, ability to plan and make decisions often without instruction or supervision.
- Excellent communication and interpersonal skills.
- Keyboarding, filing, MS Office Suite programs, office procedures, bookkeeping may be required.
- Excellent decision-making skills, program solving and organizational skills.
- Pleasant dispositions and demeanor.
- Ability to multitask
