Role Overview :
The Buying Administrator will play a critical role in supporting the Buying team by managing and maintaining accurate Master Data Management (MDM) processes. The role ensures seamless product data creation, vendor information accuracy, pricing integrity, and system alignment to enable efficient merchandising and store operations.
This position requires strong coordination skills, attention to detail, and understanding of retail systems and buying processes.

Key Responsibilities:

1. Master Data Management (MDM)
Create and maintain accurate SKU/article masters in ERP systems
Ensure correct product attributes (brand, category, size, color, season, pricing, barcodes) are uploaded
Maintain vendor master data and commercial terms in system
Coordinate with IT and Finance for data validations and approvals
Conduct regular audits to ensure data accuracy and completeness
2. Buying Team Support
Assist buyers with product listings, assortment uploads, and range planning documentation
Prepare purchase order documentation and system entries
Track order status and coordinate with supply chain/logistics
Maintain buying trackers, OTB sheets, and seasonal calendars
Support sell-through reporting and basic data analysis
3. Cross-Functional Coordination
Work closely with Merchandising, Planning, Warehouse, Finance, and Store Operations teams
Ensure product readiness in system prior to launch
Support price updates, markdown uploads, and promotional changes
4. Reporting & Compliance
Generate periodic reports related to inventory, pricing, and vendor performance
Ensure compliance with internal SOPs and global brand guidelines
Maintain documentation for audits and internal controls

Key Skills &

Competencies:

Strong knowledge of retail ERP systems and MDM processes
High attention to detail and data accuracy
Advanced Excel skills (VLOOKUP/XLOOKUP, Pivot Tables)
Good understanding of buying & merchandising cycles
Strong coordination and communication skills
Ability to work in a fast-paced luxury retail environment
