IRIDEX Corporation is a medical device manufacturer and operates in a global regulated environment (e.g. FDA). Regulations include (but are not limited to) FDA 21 CFR 820, EN ISO 13485, and the European Medical Regulation (MDR). Based on the position, experience in a regulated environment and the extent of working knowledge of appropriate regulations may vary.
PURPOSE OF JOBThe Office Manager/ Executive Assistant is responsible for managing the day-to-day office administration while providing comprehensive support to the CEO. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This is a highly visible role. The Office Manager/Executive Assistant will be self-motivated, creative, flexible, collaborative, and able to juggle diverse responsibilities with a strong emphasis on organization and attention to detail.
MAJORDUTIES AND RESPONSIBILITIES Office Operations
- Maintaining office supplies inventory
- Mail distribution
- Manage weekly food distribution, company lunches, and executive lunch requests
- Coordinate special events, meetings and workplace activities to support Iridex culture
- Manage conference rooms and scheduling requests
- Reconciliation of monthly corporate credit card statements
- Coordination of equipment maintenance, facility and workstation management with Sr. IT & Facilities Manager
- Maintain CEO calendar and contact database.
- Assist CEO with any administrative requests
- Coordinate complex travel arrangements.
- Complete weekly expense reports.
- Review incoming expense reports for CEO approval
- Manage Board of Director meetings
- Act as back-up support for executive staff members
- Create PowerPoint slides and presentations
- Assist in various projects for Human Resources
- Bachelor’s degree or equivalent, 3-5 years related experience or equivalent combination of education and experience.
- Acute attention to detail is a must.
- Excellent verbal and written communication skills.
- Proficient on Microsoft Word, Excel, Outlook and Power Point.
- Experience working with board portals, such as Diligent
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

- Good judgment with the ability to make timely and sound decisions.

- FLSA Status: Exempt
- Annual salary: $90,000 - $105,000 (DoE)
- Work Location: 100% onsite in Mountain View, CA
