Overview

About The Role We are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative and organisational support to the Senior Operations Director in Scotland and the two Scotland Operations Directors
. This role is pivotal in ensuring effective communication between senior leadership and project teams, timely follow-up on action items, and support for governance and operational excellence. The successful candidate will act as a key liaison, helping drive operational efficiency and supporting strategic initiatives across the Scotland region.

Location: This role is based out of our Head Office at Maxim Park, Eurocentral.

Please note: A full UK driving licence is essential due to the location of the office and occasional travel requirements.

Responsibilities
  • Devise and maintain efficient office administration processes to deliver an effective service.
  • Organise and produce complex, confidential papers, presentations and reports for senior leadership.
  • Arrange and attend senior leader meetings, events, and conferences; take minutes and ensure appropriate facilities are organised.
  • Coordinate and maintain the Business Unit meeting rhythm, including monthly reviews.
  • Undertake multi diary management and plan schedules to optimise the working day of executive members.
  • Screen incoming emails, messages, mail and calls; manage responses directly on behalf of executive members as required.
  • Book UK and overseas travel and accommodation for senior leaders, including preparing and tracking personal expenses and other ancillary expenditure.
  • Maintain accurate and secure paper-based and electronic filing systems, including archiving.
Qualifications and skills
  • Skilled user of SharePoint and Microsoft Office packages, including PowerPoint, Word, and Excel.
  • Previous experience providing EA/PA support to Senior Leadership Teams is preferred.
  • Highly organised, able to work on own initiative with limited supervision.
  • Discreet, confidential, and able to handle issues with great sensitivity.
  • Strong communication and influencing skills; able to engage and build effective relationships.
  • Demonstrable ability to prioritise and manage conflicting priorities during busy periods.
  • Logical, proactive approach with a high degree of attention to detail.
  • Proven ability to work well under pressure and to tight timescales.
  • Experience supporting complex governance and meeting structures.
  • Ability to manage sensitive information across multiple projects and stakeholders.

Demonstrated adaptability in fast-paced, multi-project environments.
