Overview
Grindstone is growing, and we’re looking for a detail-driven, calm-under-pressure Junior Project Manager to help keep our projects (and people) moving smoothly. If you love structure, thrive on follow-ups, and get genuine satisfaction from seeing things land on time and on brief, this role will suit you well.
You’ll work closely with our account managers, creatives, and freelancers to support the delivery of both retainer and ad hoc projects. You won’t be thrown in the deep end—but you will be trusted. This role is about coordination, clarity, and consistency: making sure timelines are tracked, tasks are followed through, and nothing slips through the cracks.
What You’ll Be DoingProject Support & Coordination
- Supporting the timely delivery of all projects under the guidance of an account manager
- Tracking timelines, deliverables, and task dependencies
- Monitoring scope and quoted hours, and flagging potential overruns early
- Keeping project documentation clear, current, and aligned with client expectations
Team & Freelancer Coordination
- Following up with designers, developers, copywriters, and specialists on tasks and deadlines
- Liaising with freelancers to confirm briefs, timelines, and deliverables
- Escalating risks, delays, or workload challenges to senior team members early
Workflow & Systems Management
- Maintaining accurate project boards in
- Updating task statuses, deadlines, notes, and communications consistently
- Recording clear next steps after internal, freelancer, and client communications
Day to Day
- Prioritising tasks based on deadlines and guidance from senior team members
- Following up on outstanding work across multiple projects
- Keeping clean, current, and reliable
- Capturing actions and next steps after meetings and check-ins
Weekly & Monthly Rhythm
- Supporting weekly reviews of all active projects
- Helping track retainer deliverables to ensure steady pacing
- Reviewing upcoming deadlines across newsletters, social, blogs, and advertising
- Assisting with monthly delivery checks, reporting, and invoicing support
- 1–3 years’ experience in a project coordination, traffic, or junior PM role (agency experience preferred)
- Strong organisational skills and the ability to juggle multiple deadlines
- Clear, confident written and verbal communication
- Comfort working in digital project management tools ( a bonus)
- Detail-oriented, reliable, and eager to learn
- Comfortable taking direction, following process, and asking smart questions
- Projects are well-tracked, calm, and predictable
- Teams and freelancers know what’s expected and by when
- Senior PMs and account managers can rely on your systems and follow-through
- Retainer work progresses steadily—no last-minute scrambles
- You grow in confidence, ownership, and responsibility over time
