Summary:
Assist the Conferences and Events staff in the planning and implementation of an effective and efficient summer conference program. This is a position beginning May 16th, 2026, and ending August 22nd, 2026. Successful completion of training and a criminal background check is required. Employee hours will vary per week as the employee schedule is dependent upon the number of groups registered.
Conference Coordinator must live in a Conference Services provided residence hall room during employment as the conference assistant serves in an on-call duty rotation.
- Coordinating on‑going programs and practices that ensure extraordinary customer service for all constituents
- Coordinating and providing services to meet the needs as expressed by conference chairperson
- Inspecting facilities prior to and during each conference to ensure appropriate conditions and services
- Responding to all special requests by guests in a timely manner
- Maintaining conference correspondence record and filing systems
- Communicating daily with supervisor concerning work priorities
- Working independently on assigned conferences
- Preparing check‑in packets, issuing keys, requesting and updating guest access cards
- Creating and managing conference signage in a professional and timely manner
- Maintaining conference information using the Star Rez system
- Assisting the conference coordinator and summer conference team by serving as an on‑site conference assistant for assigned events
- Maintaining records for purposes of accurate accounting and billing operations
- Participating in an on‑call duty rotation
- Completing two nightly rounds of conference occupied buildings
- Conducting key inventories, room inventories, and housing registrations
- Checking in and out conference participants
- Submitting work orders
- Compiling accurate records
- Conducting damage inspections and assessments
- Compiling documentation for future conference reference
- Fostering a professional office environment
- Working scheduled office hours
- Conducting one’s self professionally in all situations
- Adhering to Auxiliary Services standards and values
- Performing other projects and duties as assigned
Required Qualifications
- Organizational and decision‑making skills
- Ability to relate well with people
- Effective verbal and written communication
- Ability to work well under pressure and for extended periods of time
- Knowledge of customer service principles and practices
- Willingness and ability to perform various tasks
- Attention to detail
- Ability to work independently and as part of a team
- Experience in emergency assessment and resolution
- Previous experience in a university summer housing position
- Proficiency with computer software packages including Microsoft Word, Excel, Outlook, and Star Rez
- Previous experience in a customer service role
- Previous experience living in a residence hall environment and/or with summer camps
- It is a requirement of this position to live on campus in a residence hall
- Must be willing and able to work evenings, nights, weekends, and/or “overtime” hours as needed, and be placed on an “On‑Call” rotating schedule during the evening and weekends
