Role OverviewWe are seeking a hands-on Office Manager to oversee and execute the firm’s day-to-day operations.
This role is execution-focused and requires ownership of defined operational systems and processes. The Office Manager works closely with firm leadership, supervises administrative staff, and ensures that internal operations run smoothly, consistently, and professionally.

Office & Operational Management
- Serve as the primary coordinator for daily administrative and office operations
- Manage office facilities, vendors, equipment, phone systems, printers, parking, and security access
- Coordinate with building management and submit work orders as needed
- Maintain a polished, organized, and client-ready office environment
- Oversee vendor relationships and ensure service agreements remain current
People Operations & Administrative Leadership
- Manage employee onboarding and offboarding across firm systems and internal processes
- Maintain and update organizational charts and operational documentation
- Supervise administrative staff with clear expectations and consistent support
- Coordinate logistics for recruiting processes (final hiring decisions made by firm leadership)
- Assist with performance review scheduling and related administrative support
- Coordinate employee headshots, internal meetings, firm events, partner retreats, and other ad hoc events
Client Intake & Administrative Oversight
- Oversee the administrative client intake process to ensure smooth transitions and handoffs
- Supervise staff involved in intake and non-legal client communications
- Serve as a point of escalation for administrative or operational client concerns
- Ensure all client-facing administrative processes align with the firm’s hospitality-driven culture
Billing & Financial Coordination (Oversight Role)
- Supervise and support the billing function
- Review billing reports for accuracy and quality control
- Participate in rate review discussions with firm leadership
- Review expense reports and firm credit card activity for reasonableness
- Coordinate closely with billing personnel as needed
Internal Systems, Communication & Projects
- Prepare materials for weekly team meetings, internal scorecards, and firm communications
- Maintain operational policies, procedures, and internal documentation
- Coordinate with IT providers and software vendors; troubleshoot routine system issues
- Manage website updates and vendor coordination (content provided by others)
- Support marketing and social media coordination in partnership with designated team members
- 3–7+ years of experience in office management, operations, or administration within a professional services environment (law firm experience preferred but not required)
- Highly organized, execution-focused, and comfortable managing multiple priorities
- Confident supervising staff and holding team members accountable professionally
- Comfortable working in an office environment and serving as a visible operational presence
- Technologically proficient with the ability to quickly learn new systems
- Resourceful, practical, and comfortable solving problems independently
- Interested in growing with the firm as operational needs evolve
