Overview
Our client is seeking a highly skilled, exceptionally organized Executive Assistant to provide dedicated support to the CEO, CFO, and regional Managing Directors. This individual will thrive in a fast‑paced manufacturing environment and demonstrate the poise, integrity, and professionalism required to interact with leaders, board members, and global teams. The ideal candidate is proactive, tech‑savvy, flexible, and committed to building structure and efficiency across the organization.
Responsibilities- Executive Support
- Manage complex global calendars, schedule across multiple time zones, and navigate shifting priorities.
- Coordinate executive and board meetings, including creation of agendas, presentations, and briefing materials.
- Manage domestic and international travel arrangements, itineraries, logistics, and expense reporting.
- Oversee high‑level inbox and communication management, including drafting and responding to messages when appropriate.
- Serve as a trusted liaison while exercising discretion, confidentiality, and sound judgment.
- Provide supplemental support to HR, Sales, Customer Service, Inside Sales, and general administrative functions based on workload demand.
- Assist with ad hoc reporting—sales reporting, cross‑functional updates, and document preparation.
- Support office organization, workflow consistency, and communication across global locations.
- Work onsite at least four days per week to remain connected to plant operations and team dynamics.
- Demonstrate strong situational awareness—knowing when to lead, support, or step back.
- Adapt to a dynamic environment with fluctuating priorities.
- Uphold high performance standards with strong attention to detail and follow‑through.
- Manage and prioritize executive calendars, including rescheduling or declining meetings on behalf of the CEO and CFO.
- Independently handle communication triage, including drafting responses and flagging urgent items.
- Select travel arrangements and make itinerary adjustments as needed.
- Lead coordination of executive and board meetings, including agenda preparation and attendee management.
- 5+ years supporting C‑suite or executives (manufacturing or fast‑paced operational environment preferred).
- Bachelor’s degree (Business Administration preferred; finance or data emphasis a plus).
- Strong proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Teams).
- Exceptional written and verbal communication skills.
- Outstanding organizational and time‑management abilities.
- Ability to manage global scheduling, make real‑time decisions, and escalate issues appropriately.
- High level of confidentiality and professional discretion.
- Calm, polished presence with the ability to communicate urgency respectfully.
- High degree of accuracy, attention to detail, and low tolerance for errors.
- Ability to work independently and as a reliable team contributor.
- Ability to work in an office environment with frequent computer use.
- Comfortable occasionally lifting 10–20 lbs (files, supplies).
- Clear communication abilities in person, by phone, and electronically.
- Commitment to ethical standards and ability to shift priorities quickly.

Job Type & LocationThis is a Contract to Hire position based out of Morristown, TN.
Pay And BenefitsThe pay range for this position is $36.00 - $40.00/hr.
