DescriptionThe Division of Athletic Training, Occupational Therapy and Physical Therapy at West Virginia University is currently accepting applications for a Program Assistant III.
About the OpportunityThe position will assist in coordinating and operationalizing various projects/initiates related to the Athletic Training, Occupational Therapy, and Physical Therapy Program goals and objectives for the students. This position will work closely with the faculty within these Programs, and Administrative Director to provide an efficient and service-oriented infrastructure for the academic, research, public service, and the missions of the programs. This position will report to the Administrative Director.

- Provides administrative support to the Chairs, and other Faculty within the PT, AT and OT Programs
- Maintain data and prepare reports for assessment
- Participate in preparation of accreditation documents for the PT, AT and OT Programs, organization of site visits, scheduling and organizing program advisory board meetings/activities, and distribution / collection of annual accreditation survey instruments.
Provides support for teaching that includes:
- Gathering materials, organization, managing exams and evaluations
- Proctoring Exams
- Organization of Continuing Education courses
- Room Scheduling – including room access processes
- Schedules student academic advising session with faculty each semester
- Assist faculty in SOLE with uploading materials, proctoring tests, checking grades, etc.
- Monitor operations budget and provide feedback to Divisional Leadership
- Events planning – social, teaching, recruiting, and retreats for the Programs (PT, AT and OT)
- Ordering of supplies for the Programs (PT, AT and OT)
- Organizes faculty travel for the Programs (PT, AT and OT)
- Answering phone calls, taking messages, and giving direction accordingly
- Inventory of equipment and supplies for the Programs (PT, AT and OT)
- Picking up and distributing mail and packages (M-F)
- Support services for Departmental Meetings and Faculty Committees
- Maintain faculty calendars for Programs
- Pcard purchases and reconciliation within My Expenses for the Programs
- Organize and tabulate items for departmental leaders in PT and OT Programs that are required for accreditation (AOTA and CAPTE) (i.e., curriculum mapping, student surveys, alumni surveys, and clinical preceptor surveys).
- Assist the departmental leadership in developing new ideas/concepts regarding communication with students and updating the SOLE site for student communication among each Program.
- Answers admission questions for potential students/parents about the Programs (prerequisites, deadlines, etc.) via phone and Vanity email account.
