Summary:
The Business Operations & Rentals Manager serves as the operational and business lead for Trollwood Performing Arts School and the Bluestem Center for the Arts. This position oversees facility rental administration district-wide and provides full operational management of rentals and revenue-generating activities s position ensures compliance with district policies, supports revenue goals, and maintains accurate financial and operational records while providing support to the Director.
Business Office and Trollwood Operations Management Responsibilities
1. Director Support & Organizational Operations.

Examples of this work include:
- Provide comprehensive operational, administrative, and project-based support to the Director in support of the operations and initiatives of Trollwood Performing Arts School and Bluestem Center for the Arts.
- Assist the Director in carrying out organizational responsibilities by coordinating processes, preparing materials, and ensuring follow-through on assigned priorities.
- Support organizational systems related to staffing, documentation, compliance, events, and internal operations, as directed.
- Support the planning, coordination, execution, and follow-through of assigned initiatives, projects, and activities under the direction of the Director.
- Provide on-site operational or administrative leadership during performances, concerts, rentals, or special events when assigned.
- Perform additional duties as assigned in support of the Director and organizational operations.
Bluestem Center for the Arts.

Examples of this work include:
- Serve as the primary point of contact for Bluestem Center for the Arts rental inquiries.
- Actively communicate, promote, and coordinate rental opportunities at Bluestem Center for the Arts.
- Meet with prospective renters, provide facility tours, and communicate pricing, policies, and availability.
- Prepare rental agreements, contracts, and invoices for Bluestem rentals, including accurate entry and maintenance of all rental details within the rentals management system to support contracts, logistics, staffing, and event execution.
- Collect required deposits, certificates of insurance, and documentation.
- Lead and oversee staffing, security, and operational logistics for approved rentals, working directly with renters to determine setup requirements and ensuring appropriate teams are in place to execute those needs.
- Reconcile executed agreements with the facility rental calendar.
- Monitor rental activity to support revenue goals and operational success.

- Support day-to-day business and financial operations for Trollwood in accordance with district procedures.
- Process accounts payable and related financial transactions, ensuring appropriate documentation, coding, approvals, and compliance.
- Support cash-handling, box office, and revenue-reporting systems to ensure accuracy, reconciliation, and proper documentation.
- Maintain and organize financial records, credit card documentation, and supporting materials related to Trollwood operations.
- Support budget tracking and monitoring activities, including updating reports and assisting with variance review as directed.
- Assist with operational and business-related contracts necessary to support Trollwood programs and activities, ensuring contracts are properly documented and processed through district systems.
- Support and maintain operational systems related to box office, concessions, rentals, and other revenue-generating activities.

Examples of this work include:
- Administer the district-wide facility rental process in conjunction with school level administration and the Business Office in accordance with established policies and procedures.
- Process facility rental applications; prepare and issue rental contracts and submit invoices to the Business Office for processing.
- Collect and verify required payments, certificates of insurance, and approvals prior to facility use.
- Maintain and reconcile rental agreements, receivable activity, and facility rental calendars to ensure all activity is properly documented and billed.
- Monitor outstanding receivables related to facility rentals in coordination with the Business Office and conduct follow-up to support timely collection.
- Maintain organized and complete rental documentation in compliance with district record retention requirements.
