Executive Assistant to President

The Executive Assistant provides strategic, high-level administrative support to the President of Canadian Operations. This role demands exceptional judgment, discretion, and the ability to anticipate needs in a fast-paced and evolving environment.
The successful candidate is proactive, highly organized, and confident in managing complex priorities independently. They bring significant executive-level experience, strong business acumen, and a professional presence aligned with senior leadership.
Your future duties and responsibilities:
• Manage the President's calendar with precision, foresight, and strategic prioritization.
• Coordinate and schedule internal and external meetings, proactively identifying conflicts and adjusting to shifting priorities.
• Oversee travel arrangements, expense reporting, approvals, authorizations, and CRM-related activities.
• Develop and manage the annual Canadian Cabinet event planning calendar.
• Review and approve timesheets and validate expense reports for the President's direct reports, ensuring compliance with organizational standards.
• Serve as liaison with client administrative teams and internal administrative stakeholders.
• Plan and execute Strategic Business Unit events and leadership meetings.
• Build and maintain strong working relationships with internal and external stakeholders.
Cross-Functional Support
• Provide executive administrative support to the Vice President, Internal Operations.
• Support the VP, HR Canada with scheduling, expense reports, timesheet approvals, and coordination of team meetings
• Organize and facilitate quarterly meetings with management team assistants to align and strengthen administrative best practices.
Required qualifications to be successful in this role:
• 8+ years of senior-level executive support experience within a large organization.
• Post-secondary diploma or university degree in office administration, business administration, or a related field (or equivalent experience).
• Fully bilingual (French and English) with excellent written and verbal communication skills.
• Strong writing, editing, and formatting capabilities, particularly for executive presentations and communications.
• Advanced proficiency in Microsoft Office Suite.
• Exceptional organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
• Demonstrated experience in complex event planning and coordination.
• High level of professionalism, discretion, and integrity when handling sensitive and confidential information.
• Strong initiative, autonomy, attention to detail, and a proactive mindset.
• Excellent interpersonal and listening skills, with the ability to anticipate executive needs and operate effectively in a dynamic environment.

The determination of this range includes factors such as skill set level, geographic market, experience and training, and licenses and certifications. Compensation decisions depend on the facts and circumstances of each case. A reasonable estimate of the current range is $60,–$,. This role is an existing vacancy.
