Position Overview

As Administrative Assistant, you’ll be responsible for a wide range of tasks—from managing schedules and coordinating events to optimizing workflows and handling sensitive information. Key Responsibilities

Project & Event Management

  • Coordinate administrative projects, ensuring deadlines and objectives are met
  • Identify workflow inefficiencies and implement structured process improvements
  • Plan and execute meetings, corporate events, and philanthropic gatherings
  • Manage logistics, vendor communications, and on-site execution
  • Prepare agendas, take detailed minutes, and ensure follow-up actions are completed

Administrative & Operational Support

  • Manage schedules, prioritize tasks, and oversee inboxes
  • Handle travel logistics including conference registrations, flights, and accommodations
  • Perform accurate data entry and maintain organized documentation
  • Prepare reports and presentations using Microsoft Office tools
  • Build strong working relationships with executives and team members
  • Handle sensitive information with discretion and integrity
  • Support occasional personal requests and adapt to changing team needs
Required Qualifications & Skills
  • Minimum 1+ years in administrative, project coordination, or executive assistant roles
  • Experience in Finance or Project Management is an asset
  • Strong planning and multitasking abilities
  • High attention to detail and accuracy
  • Ability to work independently and take initiative
  • Proficiency in Microsoft Excel (formulas, pivot tables), Word, Outlook, and Power Point
