CEM Construction Corp is seeking a detail-oriented and proactive Office Administrator to support our growing construction operations in Los Angeles. This full-time role is responsible for overseeing administrative tasks, certified payroll reporting, and light accounting support. As the linchpin between field, office, and finance teams, you'll play a vital part in keeping our projects organized, compliant, and on track. Key Responsibilities
  • General Office Administration:
    • Manage front office operations: phone calls, visitors, mail, and office supplies.
    • Maintain both digital and physical filing systems.
    • Support scheduling, calendar coordination, and travel arrangements.
    • Assist project managers and field staff with administrative documentation.
    • Organize and submit project documents (bids, contracts, change orders, closeouts).
    • Deliver sealed bids or project documents to clients/agencies a few times per month.
  • Certified Payroll Compliance:
    • Prepare and submit certified payroll reports in accordance with Davis‑Bacon, DIR, and local prevailing wage regulations.
    • Track wages, hours, and classifications for field crews.
    • Ensure accurate data entry and maintain records for audits.
    • Coordinate with HR, field supervisors, and project teams for accurate reporting.
  • Accounting & Vendor Support:
    • Assist with A/P and A/R data entry and reconciliation.
    • Match vendor invoices with POs and delivery receipts.
    • Help prepare internal and external financial documentation.
    • Maintain records for vendors and subcontractors (W9s, insurance, lien releases).
Qualifications
  • Experience:
    • 1‑2 years of office administration, preferably in construction or contracting.
    • Prior certified payroll experience is a strong plus.
    • Exposure to accounting/bookkeeping tasks preferred.
  • Education:
    • High school diploma or equivalent required.
    • Degree or certification in office administration, accounting, or related field is a plus.

    Competencies:

    • Proficiency in Microsoft Office (Excel, Word, Outlook).
    • Strong organizational and time‑management abilities.
    • Excellent written and verbal communication skills.
    • Discretion with sensitive or confidential information.
  • Other Requirements:
    • Valid driver's license and reliable transportation.
    • Willingness to make occasional local deliveries or site visits.
    • Comfortable in a fast‑paced, multitasking work environment.

Schedule

Full‑Time:
Monday-Friday

Office

Hours:

8:00 AM - 5:00 PM

Minimal local travel as needed for bid deliveries or meetings

Work Location

Office based in Los Angeles, CA

Occasional travel to local project sites or agencies
