Overview

SUMMARY

Oversees and coordinates all activities relating to the acknowledgment, fulfillment and mailing programs. This position manages all operations within the fulfillment department, including materials development, inventory control and analysis, warehousing, distribution and mailing by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Responsible for the production, assembly and mailing of the St. Labre Indian School donor gift acknowledgment and back-end premium fulfillment programs.

  • This position is also responsible for any outgoing direct mail communications being produced, assembled and mailed from St. Labre Indian School.

  • Creates and maintains various reports relating to production, activity and inventory levels.

  • Prepares postal reports as required by the U.S. Postal Service, as well as the 3602 Mail Manager reports for the acknowledgment program. Assures mailings are in compliance with all postal regulations.

  • Approves and orders all paper materials and authorizes general maintenance of equipment in the department. Is also responsible for the purchase and shipping/receiving coordination of fulfillment items.

  • Obtains quotes and conducts cost analysis for all paper materials held in inventory.

  • Participates as an active member of the development team and works in a collaborative manner with the Director of Direct Response Fundraising, Director of Major & Planned Gifts and the Chief Development Officer.

  • Prepares and monitors the fulfillment department budget.

  • Responsible for departmental postage purchases and tracking. Generates necessary reports for concurring postage usage in all acknowledging and fulfillment efforts.

  • Attends meetings and conference calls as required.

  • Creates an environment of collaboration and cooperation by training employees across different work areas and promotes opportunities for employee advancement and skill development.

  • Responsible for checking all materials for accuracy and quantity, maintaining inventory logs and making proper notification of any defects, damages or errors.

  • Arranges back-end premium fulfillment load pick-ups with UPS Mail Innovations and/or the U.S. Postal Service.

  • Responsible for the overall safety and security of the staff, materials and access to the fulfillment building.

  • SUPERVISORY RESPONSIBILITIES

    Directly supervises 11 employees in the Fulfillment Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

    EDUCATION and/or EXPERIENCE

    High school diploma or general education degree (GED); and four to five years related experience and/or training required.

  • Direct experience in supervising employees.

  • Strong verbal and written communication skills.

  • Must have a professional appearance, ethics, tact and courtesy in all dealings with staff and vendors.

  • Must possess advanced knowledge of MS Excel, Access, Word and Google platforms; ability to manipulate and perform file movement.
