The Deputy Clerk is responsible for the compliance and supervision of the Judge’s Orders involving defendant(s) and setting up the probation and individual schedules to monitor compliance with court orders or appearances in Court. This position supervises all defendants with deferred or suspended sentences. In addition, he/she shall assist the Justice Court Administrator (JCA) with overflow as needed, fill in during his/her absence and complete duties delegated by JCA consisting with maintaining the records of the court and performs the duties prescribed by the judge and by the law.
In addition, this position shall be a designated deputy for the judge and JCA, including bailiff. Duties include serving as a receptionist, secretary, drafting pleadings, orders, and other duties. This position is responsible for keeping all books, papers, and records filed with the court; collecting, tracking, and processing all monies received by the court through fees, fines, bonds, and restitution; preparing for and attending hearings and clerking in the courtroom when required by the judge;
preparing documents, orders, and correspondence for the court as may be required by law, the judge and the JCA; for and maintaining a monthly calendar; issuing and maintaining record of qualified jurors; and related court support services.
Job Summary:
The Deputy Clerk is responsible for supervising all defendants on Community Service and monitoring all defendant’s compliance with the Court’s orders. The goal of this position is to make sure the defendant completes all conditions prior to the end of the suspended or deferred jurisdiction and may appear and testify in Court as needed.
Deputy Clerk, Court Compliance Essential Functions (Major Duties or Responsibilities):These duties are the essential functions and are not all-inclusive of all duties that the incumbent performs.
- Maintain full court reminders to assure Defendant complies with all sentence conditions:

Fine, surcharge, restitution, time pay & court compliance check-in agreements; - Send warning notices on citations not paid on time; attempt to contact defendants prior to placing them in the warrant file;
- Community Services;
- Victim Restitution notify JCA to ensure restitution is paid to victim;
- Defensive Driving courses;
- Alcohol and Drug courses; other classes that may be ordered;
- SCRAM or Electronic Monitoring;
- Detention; and
- Provide the County’s Finance Department with Workers’ Compensation records quarterly or as required.
- Monitor defendant completion of all conditions of court orders prior to the end of the suspended or deferred sentence. If Defendant is noncompliant on any condition, the following can occur:
- Assist JCA with jury trials as clerk or bailiff as needed.
- Must have a good working knowledge of computers, Microsoft Word, Excel, and basic accounting knowledge as well as good typing skills, formatting, must be proficient in spelling and grammar and good communications skills.
- Travel is required as needed for training.
- Must be able to learn the Court Case Management System, all Court programs, Criminal and Civil as it applies to Justice Court, maintain court records and files, and keep current with data entry.
