Under the supervision of the Program Director, and with guidance from the Assistant Director of Operations Regional Facility Manager and/or Director of Operations, the Facility Manager’s primary task is to ensure the facility is problem-free and safe so that treatment and care can be provided under the best conditions. The Facility Manager works collaboratively with the Operations team to manage outpatient programming, overseeing the day-to-day administrative operations of the facility, and upholding the company values.
The Facility Manager enforces program regulations and guidelines, including HIPAA policies, infection control, and the Joint Commission Accreditation.
- Ensures programs and services are implemented at the highest standards and clients receive the highest level of care.
- Assures the facility is fully stocked, that needed supplies are ordered in advance, and related expenses are managed to ensure that unnecessary spending is not occurring. Provides weekly feedback to the Program Director and Director of Operations in managing issues.
- Monitor and track refrigerator and freezer temperatures.
- Conducts weekly facility “walk-throughs” to identify, correct, and report safety hazards and manages maintenance repairs in the facility upon obtaining approval from the Director of Operations
- Performs/assigns emergency safety drills, completing weekly checklists to assure policy and administration guidelines are met, and ensuring the facility is compliant with licensing standards. Assists with accreditation and state licensing activities when requested.
- Responsible for the upkeep and maintenance of the facility vehicle. Will schedule facility or vehicle maintenance upon obtaining approval from the Program Director and Director of Operations.
- Assist with coordination of the transportation schedule for all clients and drive clients as needed.
- Responsible for ordering Urinary Analysis (UA) supplies, scheduling pickups, and assisting with obtaining UA’s from clients as needed.
- Responsible for visitor check-in.
- Assign a cubby and create a client orientation binder prior to admission.
- Oversees the client intake process, completing related paperwork, reviewing and obtaining signatures on all consents at the time of admission; assigning additional duties to Care Coordinators necessary.
- Ensure compliance with the Joint Commission Standards & HIPAA policies.
- Responsible for auditing treatment records in EMR and documentation completed by staff and contractors.
- All documentation in EMR must be submitted within 24 hours.
- Gather information and prepare reports for Monthly Operations, Quality Assurance, & Performance Improvement meetings.
- Manages facility schedule to ensure that all shifts and groups are covered.
- Responsible for the onboarding of new staff and contractors; responsible for the completion of related paperwork and documentation; assists in the training of these new staff and Contractors. Participate in and conduct staff performance reviews.
- Responsible for updating employee document compliance dates into ROWI systems.
- Possesses a complete and working knowledge of the Care Coordinator and Educational Liaison position to be able to help, support, and encourage staff. Will be responsible for supervising Care Coordinator’s and covering Care Coordinator shifts when needed.
