Oversees the daily operations of a single primary care site focusing on physician and staff relationships, customer service, and financial management. Effectively coordinates clinic operations by aligning administrative policies, physician preferences, and patient needs.
Responsibilities- Lead and supervise all front and back office staff; conduct weekly staff meetings; act as liaison between support staff and physicians.
- Manage all aspects of practice staff employment, including interviewing, performance appraisals, disciplinary actions, etc.; maintain time cards and report hours to payroll; maintain accurate employee files; define and assist with staff continuing education; monitor physician contracts for compliance.
- Demonstrate a positive customer service attitude; respond promptly to resolve patient complaints and employee conflicts; maintain open communication with hospital departments, referring physicians, and staff physicians; contribute to continuous quality improvement across intradepartmental and interdepartmental activities.
- Program management and daily operations: authorize purchase of daily operational supplies; maintain inventory control of general office and medical supplies; order and monitor inventory levels; practice effective cost containment.
- Prepare operational, manpower, and capital budgets; generate and submit operational and financial reports; adhere to budgets; maintain knowledge of CPT-4 and ICD-9 coding to maximize reimbursement legally.
- Oversee billing and collections; ensure adherence to provider contracts and collection policies; develop and institute policies for scheduling, billing, and collections; maintain a 95% collection ratio of collectible monies; place uncollectible accounts with collection agencies via Central Billing and monitor bad debt recovery.
- Maintain acceptable accounts receivable aging, including patient due balances; manage days in accounts receivable to target levels; maintain a 20% point-of-service collection ratio; sustain a new patient ratio of 10% or greater; align compensation and benefits with industry standards for physicians, staff, and operations.
- Performance improvement and quality: ensure compliance with insurance policies and procedures; maintain OSHA, CLIA, COLA standards and any applicable local, state, and federal mandates; update compliance practices as required.
- Administer and track physician employment benefits (e.g., Allowed Time Off, professional development).
- Take universal precautions when exposure to blood or body fluids is possible; use appropriate PPE and safe work practices.
- Collaborate with organizational processes to collect and share information about hazards and safety practices; adhere to established policies and procedures, including PPE requirements.
- Other duties as assigned.
- Experience:
3 years in healthcare operations support, including 2 years of management experience, OR a Bachelor's degree with 2 years of management experience. - Education:
High school diploma or equivalent
