What You'll Do
  • Act as the main point of contact for persons requiring medical services with the Company, whether in person, electronic correspondence or on the telephone.
  • Represent the Company in a positive light, acting as liaison between physicians’ offices and the associated Ambulatory Surgery Center (ASC), patients and the Center, purveyors and others who contact the Company.
  • Assist the front office area as needed.
  • Patient Services:
    Welcome and register patients with proper etiquette; ensure completion of forms and administrative admitting processes.
  • Collect co-payments and deductibles in accordance with Company policies and log accordingly.
  • Verify and enter insurance information and maintain confidentiality of patient records.
  • Obtain and enter pre-authorizations for workers’ compensation cases when necessary; perform follow-up on authorizations and pre-certifications.
  • Take vital signs and patient history; document in records.
  • Receive, retrieve and place laboratory results in the medical record, and obtain appropriate sign-off for post-op results (pathology requires MD sign-off).
  • Assist in sterilization and surgical support as needed, including draping, instrument preparation, passing sterile instruments, and cleaning instruments after procedures.
  • Ensure proper cleaning, sterilization, packaging, loading, and recordkeeping for sterilization cycles; maintain autoclave and related equipment; inform ASC Manager of malfunctions or repairs needed.
  • Assist in cleaning instruments and nursing areas; support cleaning of the surgical area before, between, and after cases.
  • Prepare and organize instruments and supplies for following days’ cases; check counters and surfaces for cleanliness.
  • Perform other reasonable MOHS tasks as assigned by the ASC Manager or Provider in charge.
  • Medical Records Management:
    Assemble medical charts; complete pre- and post- notations (within 48 hours of service); ensure proper authorization is documented; supervise collection, processing, storage, retrieval and distribution of medical records; ensure charts are secure.
  • Supervise charting and filing procedures for new or junior personnel as needed.
  • Scheduling and Coordination:
    Schedule procedures and coordinate with physicians, anesthesia, and patient transportation; ensure scheduling accuracy and compliance with physician and anesthesia availability.
  • Communication and Liaison:
    Answer and greet incoming correspondence with professional etiquette; direct appropriately and take accurate messages; serve as liaison between physicians, patients, vendors, and visitors; distribute referrals and communicate operative reports.
  • Administrative and Office Support:
    Maintain office supply inventory; ensure readiness of procedure rooms and equipment; manage facility inventory and required logs within 48 hours of services rendered.
  • Quality, Compliance, and Safety:
    Participate in Quality Improvement initiatives and risk management; adhere to policies and procedures including fire, disaster, safety protocols and Safety Data Sheets.

  • Service-oriented and able to resolve customer grievances
  • Proficient in computer skills with the ability to learn new software
Education/Experience
  • High school diploma or equivalent
  • 1-2 years of ASC or medical office experience is preferred
  • Dermatology experience highly preferred
Equipment & Software Operation
  • Microsoft 365 apps, fax, email, phone, Klara, EMA, Mod Med, iPad, Noah Face (biometric timeclock), Tandem, Cover My Meds , Lab Corp, Quest Diagnostics
