Pharmacy Services Administrative Assistant

Location:

Modesto, CA 95355

Position: Administrative Assistant II (Pharmacy Services)

Pay Rate: $25.60/hr

Duration: 26 weeks

Expected Shift: Part Time (0.6 FTE) – approx. 24 hours per week (Mon–Fri, 5 hours per day minimum, occasional 6–7 hours depending on workload)

Position Summary

The Administrative Assistant II provides direct administrative and clerical support to the Director of Pharmacy Services and department leadership. This role is central to maintaining efficient pharmacy operations during a staff member’s extended leave. Responsibilities include managing timekeeping, onboarding, and competency tracking for all pharmacy staff while handling sensitive information with discretion. Flexibility is required, as workload may vary and some days may extend beyond 5 hours (up to 6–7 hours).

Key Responsibilities
  • Provide administrative support to the Director of Pharmacy Services and leadership team.
  • Manage and process all departmental timekeeping accurately and on schedule, including early start times on payroll close Mondays (every other week).
  • Coordinate onboarding, orientation, and training activities for new staff.
  • Track training and competency records, ensuring compliance with regulatory and organizational standards.
  • Organize and maintain departmental files, records, and documentation.
  • Draft, edit, and distribute reports, correspondence, and department-wide communications.
  • Serve as a point of contact for internal and external stakeholders; ensure timely follow-up on requests.
  • Handle confidential information with discretion and professionalism.
  • Support ad hoc projects and departmental initiatives as assigned.
Minimum Qualifications
  • High School diploma or equivalent required;
    Associate’s degree preferred.
  • Minimum 2 years of administrative support experience, ideally in a healthcare or pharmacy environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn department-specific systems.
  • Strong organizational and time management skills; ability to prioritize multiple tasks.
  • Strong written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality.
Preferred Qualifications
  • Experience supporting director-level leaders in a healthcare setting.
  • Familiarity with timekeeping, staff orientation, and competency tracking processes.
  • Knowledge of Workday or similar HRIS/timekeeping systems.
Additional Details
  • Position is onsite at Memorial Medical Center.
  • Schedule:

    5 hours/day, Monday–Friday minimum; occasional extension to 6–7 hours/day based on department needs.
  • Start time generally 9:00 am, with earlier start required every other Monday for payroll close.
  • Contract is ~6 months; candidate must be available to start promptly to allow for training and transition before the current assistant’s leave.
  • Our client is a large Healthcare Staffing Provider; assignment at one of their affiliated hospitals/healthcare facilities.
