Post-Award Grant Specialist

Employment Type: Temporary (with potential to convert to permanent)
Schedule: Monday-Friday, 8:00 a.m.

- 5:00 p.m.
Pay Rate: $23-$25 per hour

Position Summary

The Post-Award Grant Specialist provides high-quality, customer-focused post-award research administration support for sponsored projects within an academic or research-focused environment. This role manages a diverse portfolio of awards from receipt through closeout, ensuring compliance with sponsor requirements, Uniform Guidance, and internal policies and procedures.

The Post-Award Grant Specialist works closely with Principal Investigators (PIs), departmental administrators, pre-award staff, and external sponsors to support the financial and administrative success of sponsored projects while maintaining strong working relationships.

Key Responsibilities

Award & Financial Management
  • Manage sponsored awards from notice of award through project closeout.
  • Review award documentation, budgets, amendments, and expense documentation to ensure accuracy and compliance.
  • Monitor, reconcile, and approve expenditures for allowability, allocability, and reasonableness.
  • Maintain accurate financial records in accordance with sponsor, federal, and institutional guidelines.
  • Track, document, and monitor cost share commitments, including in-kind contributions.
  • Prepare and review budget projections to monitor spending trends and prevent over- or under-expenditures.
Compliance & Reporting
  • Ensure sponsor requirements, reporting obligations, and deliverables are met.
  • Monitor financial and programmatic compliance with federal regulations, sponsor guidelines, and internal policies.
  • Assist with preparation and coordination of post-award reports, including grant closeouts.
  • Maintain documentation in preparation for internal and external audits.
  • Stay current on Uniform Guidance and sponsor requirements.
Personnel, Subawards & Approvals
  • Initiate personnel assignments and review funding allocations for sponsored projects.
  • Support effort certification processes in alignment with approved budgets.
  • Review and validate subrecipient and consultant documentation.
  • Obtain confirmation of satisfactory subrecipient performance and deliverables.
  • Review and approve travel authorizations, equipment requisitions, and budget revisions or transfers.
Systems & Data Management
  • Enter and maintain accurate post-award data in electronic research administration and sponsor systems.
  • Validate budget and award information during handoff from pre-award staff.
  • Monitor data accuracy for internal and external reporting.
Collaboration & Customer Support
  • Serve as a liaison between faculty, departments, and sponsors.
  • Communicate professionally and proactively with internal and external stakeholders.
  • Respond promptly to inquiries related to post-award activities.
  • Participate in budget or project meetings as needed.
  • Support continuous improvement of post-award processes and documentation.
  • Assist with special projects and provide backup support to team members as needed.
Qualifications

Minimum Requirements
  • Bachelor's degree from an accredited institution
  • Two (2) years of related professional experience
  • An equivalent combination of education and experience may be considered
Preferred Qualifications
  • Experience in grants or contracts management
  • Certified Research Administrator (CRA) certification
Skills & Competencies
  • Strong organizational, time management, and attention-to-detail skills
  • Ability to manage multiple priorities and deadlines
  • Strong written, verbal, and interpersonal communication skills
  • Ability to explain complex financial or regulatory concepts to diverse audiences
  • Ability to work independently and collaboratively in a team environment
  • Proficiency with Microsoft Office, Adobe Acrobat, and electronic research administration systems
