Job Description Summary

The University of South Alabama’s Registrar’s Office is seeking to hire an Academic Records Specialist. Interested candidates should apply to be considered.

Essential Functions
  • Manages all phases of the creation of the academic course schedule to include conducting schedule training for new schedulers and annual training for returning schedulers.
  • Prepares training material.
  • Enters and monitors course data.
  • Ensures accuracy of all course listings to include comments, fee codes, drop/add dates, restrictions, pre-requisites, reserved seats, course descriptions, and other course specifics by auditing all information against the University Bulletin.
  • Monitors and reports or scheduling.
  • Maintains electronic file of requested schedule changes.
  • Answers registration questions for students and staff.
  • Monitors departmental email account.
  • Adheres to student confidentiality rights as legislated with the Family Educational Rights and Privacy Act (FERPA) of 1974 in handling academic records and responding to third party requestors.
  • Ensures accuracy and compliance with University requirements to maintain academic integrity.
  • Interacts by phone, email, and in person with faculty, students, and staff.
  • Must be able to lift boxes weighing up to 30 lbs.
  • Attends special events that may require working nights and weekends.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and overtime as required.
  • Related duties as required.
