- Minimum Qualifications:
High school diploma or equivalent and five years of related administrative/secretarial/clerical experience. An equivalent combination of education and experience may be considered. - Preferred Qualifications:
Experience in a nursing education setting is preferred.
- Provides comprehensive administrative and operational support to the Nurse Anesthesiology Program, ensuring smooth day-to-day functioning.
- Serves as the primary point of contact for students, faculty, clinical partners, and staff, managing communications, scheduling, documentation, and program logistics efficiently and with a high level of professionalism.
- Acts as first point of contact to include, greeting visitors, answering inquiries by phone or email, and routing accordingly.
- Maintains a professional and informative office environment.
- Drafts and manages routine correspondence, memos, and general program communications.
- Maintains physical and digital filing systems, and ensures confidentiality, completeness, and accuracy.
- Manages complex calendars for Program Director, faculty, and simulation labs.
- Coordinates program events to include orientations, clinical rotations, simulation sessions, committee meetings.
- Facilitates clinical placement logistics to include processing affiliation agreements and scheduling with clinical sites.
- Maintains student clinical assignments, including communication with students at sites, coordination of educational events at site, and assignment, receipt, and routing of daily clinical evaluation tools.
- Maintains all clinical skill records in a central database.
- Assists with simulation lab reservation, setup, and equipment coordination.
- Processes travel requests, expense reports, and reimbursements using Concur, Banner, or relevant systems.
- Prepares requisitions, maintains supply inventories, and tracks program-related expenditures.
- Provides clerical support for student scheduling, documentation (e.g., clinical hours logs), and program records.
- Assists faculty with course-related materials, meeting minutes, and communications.
- Organizes program events and workshops to include logistics, communications, and materials distribution.
- Documents and distributes minutes from program committee meetings, accreditation planning sessions, etc.
- Handles sensitive and confidential information (student records, evaluation data, accreditation materials) with discretion and integrity.
- Regular and prompt attendance.
- Ability to work schedule as defined and overtime as required.
