Import/Export Coordinator (Air / Ocean / Domestic)

Position SummaryOur client, a Japanese company is looking for a Logistics Operation Coordinator who is responsible for handling import/export and domestic transportation operations, including air, ocean, and ground shipments. This role coordinates closely with customers, carriers, overseas affiliates, and the Japan headquarters to ensure smooth and timely logistics operations. The ideal candidate has hands‑on freight forwarding experience and strong communication skills in a multicultural business environment.
Key Responsibilities- Arrange bookings and coordinate shipments with air, ocean, and ground carriers
- Manage import/export and domestic transportation operations (Air / Ocean / Trucking)
- Coordinate closely with vendors, customers, overseas affiliates, and Japan headquarters
- Track cargo movement and provide shipment updates to customers and overseas offices
- Prepare and process required trade documentation, including AES and JP AFR filings
- Create and issue shipping documents such as B/L, Arrival Notice, and freight invoices
- Respond to rate requests and support freight quotation processes
- Attend cargo loading/unloading at ports, airports, and customer/shipper sites as needed
- Visit customer/shipper locations for project planning and logistics coordination
- Handle daily operational communication via Email, PDF, and internal systems (including Sage
50)
- Minimum 3 years of experience in freight forwarding or import/export logistics operations
- Hands‑on experience with Air, Ocean, and domestic transportation coordination
- Knowledge of international trade documentation and customs procedures
- Experience communicating with Japanese headquarters or Japanese clients preferred
- Strong written and verbal communication skills in English
- Japanese bilingual is highly preferred but not necessary
- Detail‑oriented with strong organizational and prioritization skills
- Proficiency in Microsoft Excel, Word, Outlook
- Experience with Sage
50 accounting system is a plus
