The Role – Sales Coordinator
The Sales Coordinator provides essential administrative and operational support to the Sales and Events teams. This role is responsible for coordinating communications, preparing for site visits, managing amenities, and ensuring a high level of organization and service across all sales and event‑related activities.
Key Responsibilities- Serve as a central point of coordination for Sales and Events activities, ensuring smooth day‑to‑day operations.
- Support Sales and Events teams with administrative and organizational needs as required.
- Assist with lead management processes, excluding full lead distribution responsibilities.
- Handle all incoming phone calls for the Sales and Events departments, ensuring timely, professional, and accurate responses.
- Direct inquiries appropriately and follow up as needed to maintain service standards.
- Collaborate with team members during high‑volume periods, while retaining primary responsibility for phone coverage.
- Coordinate and prepare all site visits for both Sales and Events, including logistics, materials, and internal communication.
- Ensure meeting spaces, agendas, and required documentation are prepared in advance.
- Work closely with Sales and Events teams for support, while maintaining sole accountability for site preparation execution.
- Manage and coordinate all amenities for Sales and Events, including ordering, setup, tracking, and follow‑up.
- Ensure amenities align with brand standards and client expectations.
- Maintain inventory awareness and coordinate replenishment as needed.
- Maintain accurate records, calendars, and documentation related to Sales and Events activities.
- Assist with reports, proposals, contracts, and internal systems as required.
- Ensure attention to detail and consistency across all communications and materials.
The hourly rate for this position is $25.50/hr this is the pay rate for this position that Hyatt Regency La Jolla reasonably expects to pay.
