OverviewThe Inspection Coordinator is responsible for advising the Sales and Dispatch teams on the most efficient and cost-effective inspection locations for vehicles requiring documentation to complete the Title & Registration (T&R) process. This role maintains detailed tracking of all inspection requests, prioritizes aging or urgent cases, and ensures that all inspection paperwork and related documentation are properly received, verified, and transmitted for processing.
Key Responsibilities Routing & CoordinationEvaluate available inspection locations to recommend options that optimize cost, timing, and routing efficiency. Advise Sales and Dispatch on the most practical inspection locations based on transport method and budget considerations. Coordinate with Dispatch to ensure shipping labels are generated promptly and assigned to the correct driver.
Tracking & MonitoringMaintain a real-time tracker for all pending, active, and completed inspections. Monitor deadlines to ensure inspection documents are received before expiration. Prioritize aging or high‑urgency inspection requests to maintain continuous workflow and compliance timelines.
Documentation ManagementVerify that all inspection reports and associated documents are complete, accurate, and properly labeled for submission to the T&R department. Upload and log received documents into the tracking system for visibility and auditability. Escalate missing or incomplete paperwork to the Inspection Coordination Manager for resolution.
Cross‑Department CommunicationProvide consistent updates to Sales and Dispatch on inspection status, delays, and documentation progress. Collaborate with the Tag & Title team to ensure inspection results are available for downstream processing. Support coordination with Accounts Payable by ensuring inspection invoices are accurate before submission.
Reporting & Continuous ImprovementDeliver regular updates to the Inspection Coordination Manager on inspection progress, volume, and performance metrics. Identify recurring issues, vendor inefficiencies, or routing opportunities that could improve overall process flow. Contribute to developing and maintaining jurisdiction‑level SOPs and training documentation.
