Job Description

GENERAL PURPOSE OF THE JOB:

The Development Assistant is responsible for working with the Outreach/Development Team to raise funds through various means, and for ensuring the planning, developing, and execution of C.O.P.S. Special Events. Ensure accurate data entry, tracking, and reporting of donations and assisting the Development team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for helping assist in the coordination of silent auctions at C.O.P.S. events including, but not limited to, National Police Week, National Golf Tournament, National Conference, Survivors Weekends and Camps, and Training events. Maintain a historic spreadsheet of amounts raised through silent auctions.
  • Coordinate the primary special events supervised by the Outreach Department. This includes, but is not limited to, golf tournaments, C.O.P.S. Walks, and silent auctions.
  • Research, develop, and construct timelines for new special events that build the C.O.P.S. fundraising efforts.
  • Assist the Development Specialist in entering all donations into the database in a timely fashion. Identify source and designated use. Enter by date received by the office which is stamped by the Executive Assistant. Make entries as requested by the donor.
  • Prepare a donation report on contributions received through the COPS National Office on a monthly basis for the Outreach Director.
  • Submit web page data changes for donor pages and ensure the changes are accurate.
  • Work with the Outreach Director to ensure donors receive awards as outlined on the Donor Recognition Ladder.
  • Create and manage organized digital outreach campaigns through survivor stories, creative giving opportunities, and direct donation requests.
  • Work with all staff for any special events that may require special assistance, i.e. banners, sponsor signs, in‑kind donations.
  • Work with the Outreach/Development Team to establish relationships with donors for special events to include managing in‑kind donations and monetary contributions/partners.
  • Develop letters for various solicitations throughout the year. Work with the Communication Department on promotional materials and verifying that all supplies associated with this task are available to ensure survivors/donors receive the recognition promised for their contributions.
  • Work with Outreach Director and other C.O.P.S. personnel to identify and order recognition materials, banners, pins, etc. needed for NPW.
  • Work with auditors and the Financial Director as needed to provide proof of donations.
  • At the conclusion of each special event, provide donation/expense information to the financial manager for program cost sheets.
  • Coordinate with the Financial Specialist to secure documents for all state registrations which enables C.O.P.S. to do fundraising in the various states and locales as required by law. URS Compliance is contracted to oversee this for all states that require registration.
  • Maintain a friendly, professional working relationship with donors and survivors and provide assistance when possible.
  • Collaborate with Development Team to:
    Build and maintain strong, long‑term, effective relationships with fundraisers, event participants, fundraising donors, and sponsors at both the local and national level. Expand prospects for potential revenue streams and event sponsor ships.
  • Solicit cash or in‑kind donations or sponsor ships from individual and business donors.
  • Develop strategies to encourage new sponsorship and increase donations.

PERIPHERAL DUTIES:

  • Moderate amount of out of town travel.
  • Attend and assist with assigned Survivor Weekends, Camps, and other C.O.P.S. Events.

EDUCATION, EXPERIENCE, CERTIFICATES AND LICENSES:

High School Diploma, 2‑4 years office experience, accounting and or fundraising background preferred.
