The Tradeshow Marketing and Lead Management Coordinator is responsible for planning, executing, and managing the company’s participation in trade shows and events to enhance brand visibility and drive lead generation. This role combines strategic event marketing with hands‑on coordination, cross‑functional collaboration, and performance analysis to ensure event efforts align with overall business objectives and deliver measurable ROI.
Responsibilities Include Strategy and Planning- Develop and execute a comprehensive trade show strategy aligned with marketing and sales objectives.
- Evaluate and recommend events and conferences based on target audience and company goals.
- Attend a minimum of 4 trade shows and 4 network‑building events per year.
- Oversee all aspects of tradeshow planning and logistics, including booth design, setup, and tear‑down.
- Coordinate with internal teams and external vendors including show service companies, suppliers, hotels, etc.
- Ensure timely setup and de‑installation at event sites.
- Develop and implement pre‑event and post‑event marketing campaigns including but not limited to email, direct mail, advertising.
- Collaborate with the Marketing Coordinator to develop and execute social media campaigns relating to all trade shows.
- Maximize attendance and engagement through targeted outreach.
- Implement lead generation strategies and manage lead capture using Microsoft CE.
- Work closely with the sales team to ensure timely follow‑up and tracking of leads generated from events.
- Enter leads in CE portal and delivers monthly ROI reports and post event analysis to the Marketing Director.
- Manage tradeshow budgets, track expenses, and negotiate contracts with vendors and suppliers for cost‑effective execution.
- Evaluate tradeshow performance using KPIs such as cost‑per‑lead (CPL), marketing qualified leads (MQL) volume, and viable sales opportunities created.
- Provide insights and ROI reports for future improvements to the Marketing Director.
- Ensure consistent and compelling brand representation across all event materials and experiences.
- Collaborate with Graphic Designer for custom collateral.
- Drive customer and vendor referral programs and participate in outbound lead generation activities.
- Conduct preliminary research of potential customers and follow up via telephone calls.
- Attend monthly training sessions as required.
- Education:
Bachelor’s degree in marketing, Business, or related field. - Experience:
Minimum of 3-5 years in event marketing, trade show, or corporate event planning. Minimum of 2-3 years in a lead or sales development role. - B2B experience preferred.
- Project Management:
Strong organizational and project management skills for managing multiple projects and deadlines. - Communication:
Excellent written and verbal communication skills for effective collaboration. - Technical Proficiency:
Experience with Microsoft CE, , Innova Market Research, marketing automation platforms, and event management software. - Analytical
Skills:
Ability to analyze data, track ROI, and make data‑driven decisions. - Sales Process Knowledge:
Ability to follow sales processes, overcome objections, and drive referrals. - Computer
Skills:
Proficient in Microsoft Office, Linked In, Teams, Constant Contact. - Self‑Motivation:
Able to accomplish tasks with little direction and manage priorities independently. - Physical Requirements:
Ability to occasionally lift/carry up to 50 lbs, bend, stoop, squat, and reach above shoulder level. - Travel: 0–30% per year for event management, setup, and de‑installation.
