Quality Assurance Associate

Full-Time, Non-Exempt Employee
- The Quality Assurance Associate audits participant files to ensure they meet federal, state, and local standards and reviews requests for participant expenses prior to payment or reimbursement across multiple projects and grants.
- Primary focus on analysis and review of WIOA files for program compliance, accuracy, and completeness of submission.
- Interact with coworkers across locations and, in some cases, compliance and audit professionals at customer workforce boards.
- Maintain a high level of accuracy and confidentiality; work in a fast-paced, flexible, proactive, resourceful, and efficient manner.
- Assist with mission-related activities as part of the team and report to the Director of Quality Assurance.
- Monitor and audit participant files to ensure Federal, State, and Local policy compliance; ensure expense submissions comply with WIOA, State, Local, and corporate policies to prevent disallowed costs.
- Collaborate with Project Associates, Executive Directors, and Workforce Boards to provide file compliance guidance and insight.
- Ensure participant expenditures are entered into state systems and processed timely and economically within established policies and budgets under WIOA.
- Coordinate accounting activities for assigned projects by establishing and monitoring procedures and policies by contract.
- Review monthly project invoicing by validating supporting documentation and compliance on participant files; maintain and update multiple spreadsheets and reporting tools in Google Drive.
- Submit monitoring reports accurately and promptly to local staff and Workforce Board members; support audit deliverables and program audit requests.
- Support growth and program development; approach tasks with a proactive, problem-solving mindset.
- Associate degree or higher, or an equivalent combination of education and experience.
- 2+ years of accounting experience and knowledge of WIOA contracts/programs preferred.
- Strong computer skills in MS Excel and Google Sheets; ability to work in a dynamic team environment with excellent teamwork, communication, and interpersonal skills.
- Ability to work across all levels of management and staff; sharp attention to detail with strong organizational, analytical, research, and critical thinking skills.
- Exceptional time management, ability to meet month-end deadlines, multitask, and work independently and in a virtual team environment; must be able to meet deadlines and work under pressure.
- Ability to maintain confidentiality and handle personnel inquiries with sensitivity, tact, and diplomacy.
