Position Summary

The Part‑Time Staff Assistant for Public Safety Technologies will provide support for the Director with concentration on electrical lineworker and fire training. The duties and responsibilities listed below define the role of the Staff Assistant.

Minimum Qualifications
  • Associate degree in Office Systems Technology or related field. (

    Note:

    Degrees and hours must be from a college accredited by a United States Department of Education accepted accrediting agency such as SACSCOC).
  • Two years of full‑time clerical experience in an office environment.
  • Demonstrated use of MS Office computer software.
  • Ability to make moderately complex computations rapidly and accurately.
  • Understand and be committed to the unique nature and role of the College.
Preferred Qualifications
  • Five or more years of experience in an educational institution.
Essential Duties and Responsibilities
  • Treat others respectfully, speak to others courteously, and behave in such a way that creates a workplace environment that is marked by trustworthiness, honest but polite communication, and interpersonal interactions that are both personally cordial and professionally appropriate.
  • Model an understanding of and commitment to the comprehensive community college philosophy and mission.
  • Provide administrative assistance to the Director that includes class set up and close out, memoranda, reports, documents, forms, tabulations, and other materials.
  • Process all correspondence such as approval letters, miscellaneous letters, and memoranda.
  • Answer requests and inquiries for information relating to electrical lineworker, fire, and emergency services programs over the phone, email, and in person.
  • Provide assistance to emergency services staff with computer operations consisting of work processing and e‑mail.
  • Process all travel authorizations, requisitions, and reimbursements for electrical lineworker and fire training staff.
  • Assist with coordinating the inventory and storage for the department (catalogs, curriculum brochures, etc.).
  • Check records and papers for accuracy, completeness, and compliance with established standards and procedures and course audits.
  • Assist staff with special assignments and projects.
  • Answer requests and inquiries for information relating to EMS programs.
  • Perform other duties and assume other responsibilities as directed by the EMS Program Coordinator.
  • Handle inquiries and requests for information from students and general public.
  • Perform other duties as assigned by the coordinator.
  • Assume responsibility for being familiar with and adhering to all policies of the College.
  • Perform other duties as assigned by the dean.
  • Model an understanding of and commitment to the comprehensive community college philosophy and mission.
Physical Demands
  • The employee will need to regularly operate and use computers, phones and other electronic equipment.
  • The employee will frequently communicate and must be able to exchange accurate information with others.
  • The employee may need to move around their office and/or campus to attend meetings/classes and to access files, machinery or other job‑related tools.
  • The employee may need to lift and/or move equipment, tools or paperwork up to 25 pounds.
  • The employee may need to position themselves by reaching, stooping, kneeling or crouching in order to adjust or collect equipment and/or supplies.
  • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
  • Encounters low to moderate noise levels in the work environment.
